Precious Hearts Academy is a non profit school serving students moderately to severely impacted with autism and developmental disabilities. We are seeking a professional, dynamic and organized Office Assistant/Receptionist to join our team This vital role offers an exciting opportunity to be the welcoming face of our school while ensuring smooth daily operations. As the first point of contact, you will manage front desk responsibilities, support administrative functions, and provide exceptional customer service. Your energy, attention to detail, and multitasking skills will help create a positive environment for our students, visitors, and staff alike. Responsibilities
- Greet visitors and clients warmly, providing excellent customer service and ensuring a positive first impression
- Manage multi-line phone systems, screen calls, and direct inquiries efficiently using proper phone etiquette
- Handle front desk duties including checking in guests, scheduling appointments, and managing visitor logs
- Perform data entry, filing, and document proofreading to maintain accurate records and organized files
- Support office management tasks such as calendar management, appointment scheduling, and coordinating meetings
- Utilize computer skills with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace to prepare documents and communicate effectively
- Assist with clerical tasks like photocopying, faxing, mailing, and maintaining office supplies inventory
- Maintain a clean front desk, admin offices, lobby
Requirements
- Proven office experience or administrative background with strong organizational skills
- Proficiency in computer literacy including Microsoft Office applications and Google Workspace tools
- Excellent phone etiquette with experience managing multi-line phone systems
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Strong typing skills along with attention to detail for proofreading and data entry tasks
- Ability to handle multiple priorities efficiently while demonstrating time management skills
- Previous experience as a receptionist or in customer support roles such as school, dental or medical receptionist is a plus
- Knowledge of bookkeeping or QuickBooks is advantageous for supporting financial tasks
- Personal assistant experience or familiarity with calendar management can enhance your effectiveness in this role
- Able to obtain DOJ/FBI/TB clearances
- Able to perform all duties requested in a professional and confidential manner.

Job Details Include:
- 5 days/week
- Monday – Friday 8:00am to 3:30pm
- Off weekends, major holidays and school breaks
