    Job Summary:

    The Purchasing Admin supports the Purchasing and Warehouse teams in the procurement and distribution of goods and services, including warehouse inventory items, non-stock items, and special project purchases.

    The role primarily consists of office activities but will also include some activities within and in support of the field warehouses.

    $21/hourSchedule: Typical schedule is 40 hours, 5 days/per week (may include weekends, evenings, and holidays)

    Responsibilities


    • Support Director, Purchasing Agents, and warehouse supply chain group in execution of departmental activities, ensuring timely procurement and distribution of goods to meet operational needs
    • Ensure purchasing activities are filtered through the lens of sustainability in achieving our mission of "Legendary Hospitality with a Softer Footprint"
    • Regularly communicate and coordinate with departments/stakeholders to understand needs, and anticipate and resolve challenges, ensuring customer satisfaction and that purchasing services meet the needs of the organization
    • Enter updates and modifications to ordering templates in Cloudsuite
    • Communicate with vendors when expediting Purchase Orders and relays shipping delays or changes to locations receiving products
    • Assists with modifying Bin locations in Cloudsuite for field warehouse teams
    • Help field warehouse teams and Purchasing Agents by entering in physical quantities received on Cloudsuite Purchase Orders
    • Work with Vendors requesting return authorizations, processing returns, and ensuring credits for returns are received
    • Support A/P requests in identifying correct receivers and Purchase Orders which are associated with vendor invoices
    • Assist and support warehouse operations during seasonal openings and closings, monthly physical inventories, and other activities as needed
    • Support Purchasing Agents by keying in requisitions, inventory transfers, and other daily data entry tasks
    • Support department as needed in moving people and products between locations
    • Other duties and responsibilities as assigned
    Qualifications


    • Preferred 3 years experience with administrative office work
    • A/P experience in matching receiving, purchase orders, and vendor invoices desired
    • Experience using any ERP system required
    • Experience with Infor Cloudsuite Financials & Supply Management preferred
    • Experience in hospitality or food service related industries preferred
    • Must be proficient in Microsoft Excel and Outlook
    • Well established written and verbal communication skills
    • Dependable and capable when working autonomously with varying degrees of clarity and direction
    • Comfortable working full time in an office setting
    • Capable of lifting 40lbs on a limited basis
    • Strong interpersonal skills and the ability to effectively multitask in a fast-paced environment
    • Attention to detail with accurate keyboarding skills

    Physical Requirements include:

    • The Purchasing Admin spends the majority of time at a desk but may assist in the field warehouses as well if needed
