- Loads, stores and packages legal documents and/or files for court-wide use to meet scheduled deliveries and immediate needs.
- Operates office equipment including telephone, computer systems, copy machines, scanning equipment, dollies and/or a variety of handcarts.
- Assists in the periodic inventory of court supplies.
- Pulls and delivers court records and documents to and from various court departments as requested by authorized court personnel.
- Accesses and maintains electronic databases, or manual recordkeeping systems to accurately track the movement of records from within the organization.
- Travel to and from off-site storage units to store/retrieve archived files and/or documents, which may require the loading/unloading of documents/files from a motor vehicle.
- Sets up, organizes and maintains a variety of standard office records and files; indexes and cross-references documents and files; pulls, rotates and files documents; sends and retrieves files from archives; boxes files for storage; prepares and maintains indexes for easy retrieval of files; and arranges for the destruction of documents and/or records, only as directed by Court Management.
- Scans legal documents and/or files for archival by utilizing an imaging scanner, while maintaining the quality of the image.
- Verify the accuracy of the duplication of the scanned document/s with the original source document/s.
- Prepares incoming and outgoing mail for distribution and mailing from various court departments; performs delivery to and collection from individuals and departments, incoming, outgoing and intra-department mail; sorts and time stamps incoming mail.
- Performs manual sorting of mail; collate, bundle, and transfer processed mail from one area to another.
- Collects and distributes various shapes, sizes and types of mail from various departments throughout the Court at scheduled intervals through the workday.
- May lift, carry and shelve boxes weighing up to 25 pounds.
- May lift, push, and/or pull documents, files, carts, etc. weighing up to 50 pounds from one location to another.
- Performs other court-related duties as assigned.

Definition:
Under general supervision, performs basic office support and court operation duties.
Distinguishing Characteristics:
This is an entry level position in a classification of its own which requires the incumbent to perform a variety of routine, repetitive tasks. Records Support Assistants may be rotated among various assignments from performing duties in the Records Center, Imaging Center, Exhibits and Mailroom for the purpose of training, development and/or need. Incumbents are expected to efficiently and accurately learn and apply a wide variety of specialized court policies, procedures and rules to carry out their job assignments.
Essential Functions
Positions within this classification may perform any or all of the below listed functions. These should be interpreted as examples of the work performed, and are not necessarily all-inclusive.
Employment Standards:
Graduation from high school or G.E.D. equivalent - AND - One (1) year of full-time responsible experience performing duties that would provide the knowledge, skills and abilities essential for this position.
Licenses; Certificates and Special Requirements:
A valid California Class "C" Driver License may be required for certain assignments in this classification.
Required Knowledge, Skills, Abilities and Physical Requirements:
Knowledge of: general clerical and record-keeping practices and procedures; customer service and proper telephone etiquette; alphabetical, numerical and chronological filing sequences; basic arithmetic functions; proper English usage, grammar, spelling, and punctuation, as well as safe work practices, including correct lifting methods.
Ability to: learn and understand specialized information, including rules, policies and procedures, and apply that knowledge in carrying out job assignments accurately and efficiently; perform actions that require high attention to detail and application of rules and specific procedural requirements; accurately code, index and file a high volume of official documents, in accordance with regulations and standard office procedures; perform basic arithmetic computations quickly and accurately; learn to operate and use a variety of electronic and automated office machines and equipment; communicate clearly and effectively in English; work in an environment that includes frequent interruptions and simultaneous attention to multiple tasks; understand and follow oral and written instructions; carry out duties in accordance with policy, procedure and scope of responsibilities; maintain confidentiality of Court documents and records; establish and maintain effective working relationships with judicial officers, Court and County employees, members of the public and others encountered in the course of work.
Physical Requirements:This classification includes manual labor which frequently requires strenuous physical effort, including moderate lifting overhead of up to approximately 25 pounds, moderate to heavy lifting, pushing and pulling of up to 50 pounds. Constant walking and standing; frequent reaching, grasping, stooping and ladder or footstool climbing, as well as walking on uneven ground or slippery surfaces; and occasional squatting, bending, twisting, kneeling, climbing stairs and sitting. Positions within this classification are also exposed to occasional temperature changes as they may be required to work for periods of time, both in and outside the Court buildings.
