    GENERAL DESCRIPTION

    Under the direct supervision of the Assistant Vice President of Undergraduate Admission, the Director of Admission - Operations will manage the processing and evaluation of all first year, transfer, and non-degree applications within the Undergraduate Admission department. The Director will work alongside other members of the Undergraduate Admission Leadership Team and Admissions Committee to establish and assess undergraduate admission criteria, policy, and processes. The Director will be responsible for leveraging customer relationship management (CRM) strategies, and work closely with campus partners, including Enterprise Student Systems, Financial Aid and Student Accounting, the University Registrar, and Office of Academic Affairs, to oversee the creation and management of student records in the university's Student Information System of record.

    The Director:

    1. Provides leadership, management, and support for the recruitment efforts of the Office of Undergraduate Admission and develops a competent, productive and effective staff by hiring and supervising, directly and through delegation, the administrative, professional, student and clerical support personnel in the Office of Undergraduate Admission

    2. Chairs and participates on campus committees regarding undergraduate recruitment and coordinates effectively with academic and administrative units across campus (including deans, department heads, Department of International Enrollment Management, Office of Global Affairs, Academic Affairs, the Registrar, Financial Aid, and others) to achieve enrollment goals.

    3. Effectively administers the University's prospective and admitted student software systems and databases (e.g., application for admission, CRM, transfer equivalency) by developing a working knowledge of those systems, assessing the systems support needs of the Admissions Office, interpreting those needs to Enterprise Student Systems, and working cooperatively with the staff of Enterprise Student Systems, Institutional Research, International Enrollment Management, the Registrar, Financial Aid and Student Accounting and other offices on campus to ensure that the integrity of the systems and data are maintained and that the systems are utilized productively in support of admission and recruitment functions.

    4. Fosters an office environment that empowers staff to provide constituents with excellent customer service and personalization

    5. Ensures the efficient processing of admission applications by developing and administering policies, procedures, and systems that provide quality admission services for prospective students.

    6. Effectively administers the University's undergraduate admission and transfer of academic credit policies by supervising and providing leadership to the staff responsible for applying these policies and ensuring that decisions are rendered in accordance with these policies.

    7. Facilitates a work environment that encourages knowledge of, respect for, and development of skills to engage with those of other cultures or backgrounds.

    8. Remains competent and current through self-directed professional reading, developing professional contacts with colleagues, attending professional development courses and conferences, and attending training and/or courses as required by the Assistant Vice President for Enrollment Management and Services.

    9. Contributes to the overall success of the Office of Enrollment Management and Student Affairs by advising and assisting the Assistant Vice President of Undergraduate Admission in all aspects relating to the recruitment and admission of students and by performing all other essential duties as assigned.

    Special Schedule Requirements

    The nature of the position will require a schedule from 8:30am-5pm on weekdays and will allow for a remote work arrangement in accordance with the University's Remote Work Guidelines and Policies for Staff. This position will require a flexible work schedule, including some nights and weekends.

    Qualifications

    Education & Experience

    A minimum bachelor's degree is required; Master's degree or higher is preferred.

    Over five years of experience in admissions and application processing, college admissions, and/or other customer service organizations, with at least three years at the associate director or director level, is required.

    Knowledge & Skills

    Experience working CRM application management processes and systems including but not limited to AY application systems, Salesforce, TargetX, Slate, and ERPs, including Banner for an educational institution.

    Proven ability to work independently, excellent communication and presentation skills, sensitivity and responsiveness to the needs of diverse constituencies, and managing goals.

    Familiarity with international education systems and academic documents required. Prior experience in international credential evaluation preferred.

    Ability to multi-task and handle a wide variety of job duties and prioritize based on the supervisory direction.

    The candidate will need to be proficient with the Microsoft Office suite.

    SUPERVISION & BUDGET AUTHORITY

    This role reports up to the Assistant Vice President of Undergraduate Admission and directly manages the Director of Transfer Articulation and Systems and Associate Director of Operations and indirectly manage additional professional and seasonal staff and student employees responsible for processing and evaluating undergraduate program applications and transfer credit evaluation.

    This role is responsible for managing the hiring budget for seasonal staff members.

    Enrollment Funnel Management
    • Lead the teams responsible for application processing, application evaluation, and transfer credit articulation, as well as additional professional and seasonal staff and student employees responsible for processing and evaluating undergraduate program applications and transfer credit evaluation
    • Serve on Admissions Committee to conduct final reviews, evaluate special scholarship applications, and establish/review admission policies and practices
    • Ensure that all applications are processed and evaluated according to the annual admissions operational calendar
    • Create daily funnel reports for Enrollment Management leadership to help identify enrollment trends and potential gaps
    • Conduct final checks prior to admissions decision release
    • Create and manage dashboards to track productivity for all processing and application evaluation team members
    • Closely monitor enrollment funnel, create and implement quality control measures, and allocate resources as needed to account for growth during peak areas of cycle
    • Verification of the authenticity of documents, including official transcripts, submission of final transcripts, and official test scores -

    • Responsible for working with Enterprise Student Systems, Financial Aid, Student Accounting, the Registrar's Office, and external vendors to create and implement new applications, attributes, and data fields in the CRM
    • Maintain and update all existing admission applications (including Common App, Scoir/Coalition, Direct Admission, and Athletics Pre-Reads), scholarship applications, and miscellaneous forms
    • Ensure that attributes for students (including special populations) are created accurately in the student information system of record
    • In partnership with the Assistant Vice President of Undergraduate Admission and campus partners, verify enrollment data annually for census reporting
