    PRIMARY FUNCTION/PURPOSE:

    Oversee the inventory of food, supplies and equipment through management, control, and distribution. Facilitate the purchasing of goods and services and serve as liaison to ensure the maintenance and repairs of equipment.

    PRIMARY RESPONSIBILITIES

    • The Procurement Specialist is the key interface between vendors and internal departments. Responsible for supplier negotiations for materials, services, transportation, construction, and maintenance of CRF sites;
    • Coordinate with facility, staff, and vendors the receipt of goods and services to ensure timely and effective procurement.
    • Participate in RFP process, including conducting responsiveness checks and quality assurance reviews for submitted evaluations and review vendor bids, quotes, and contracts to ensure accuracy.
    • Manage receiving systems to ensure the timely receipt and accurate recording of goods and services. Maintain well-organized, up-to-date and accessible Record
    • Management Systems, ensuring convenient, accessible, accurate and current information regarding all orders and to monitor all inventory levels.
    • Oversee systems for the distribution of supplies and equipment, ensuring smooth facility operation, provision of client services, and allocation of expenditures to appropriate program departments.
    • Maintain storage of inventory at CRF for Homeless Services programs. Coordinate with program staff for pick-ups and delivery.
    • Work with finance department to submit invoices and documents for vendor payment
    • Perform other duties and special projects as required.

    SECONDARY RESPONSIBILITIES:

    • Facilitate effective communication with other staff within an interdisciplinary context, participate in and contribute to staff meetings and the development of policies and procedures.
    • Participate in training and staff-development activities to acquire and maintain both interpersonal and operational skills necessary for successful job performance.

    PRINCIPAL RELATIONSHIPS:

    • Frequent contact with staff within all Departments to obtain and exchange information, and to coordinate and anticipate inventory, purchasing and maintenance needs.
    • Collaborative working relationships with and guidance to volunteers helping in CRF.
    • Sensitive and respectful relationships with clients served in CRF.
    • Frequent contact with outside personnel including vendors to assure orders are received.

    MINIMUM QUALIFICATIONS:

    • Associated Degree; Bachelor's degree preferred.
    • Two years' experience in nonprofit materials management and inventory control required.
    • Excellent writing, organizational, communication and follow-up skills. Knowledge of office systems; MS-Office preferred.
    • Strong interpersonal skills.
    • Solid experience in office procedures, accuracy, detail oriented, productive and demonstrates the ability to take initiative to ensure tight deadlines are met.
    • Must be well-organized and attentive to detail; and the ability to work within a fast-paced work environment.
    • Ability to work independently and as part of a team.
    • Excellent written and oral communication, analytical, and organizational skills are required.
    • Exhibit a professional demeanor at all times to all customers.

    OTHER REQUIREMENTS (including Physical Demands):

    • May be required to work long hours and a varied schedule.
    • Travelling throughout various locations in the New York City area.
    • Lifting and moving objects weighing up to 75 pounds several times a week.
