We are seeking a dynamic and highly organized Automotive Office/Service Manager to join our team This vital role combines administrative expertise with exceptional customer service skills to ensure the smooth operation of our automotive service department. Responsibilities
- Manage front desk operations, including greeting customers and directing phone calls using multi-line phone systems
- Schedule and confirm service appointments, ensuring efficient workflow and customer satisfaction
- Handle administrative tasks such as data entry, filing, and maintaining accurate records using Microsoft Office and Google Workspace tools
- Support office management duties including calendar management, time management, and organization of documents
- Provide exceptional customer support by addressing inquiries, offering solutions, and maintaining positive relationships
- Assist with bookkeeping tasks using QuickBooks or similar software to track invoices, payments, and expenses
- Maintain professional phone etiquette and ensure all communications are clear, courteous, and professional
- Coordinate with technicians and staff to ensure timely completion of services and proper documentation of work performed
- Proofread reports, correspondence, and other documents for accuracy and clarity
- Support clerical functions such as typing reports, managing files, and organizing office supplies
- Write-up and or approve estimates
- File claims to insurance companies and or warranty companies
- track parts and vehicle inventory
- Set monthly targets and develop processes to achieve set goals
- Open/Closs business
Requirements
- Proven experience in office management or administrative roles within an automotive or related industry
- Strong computer skills including proficiency with Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, data entry, and computer literacy
- Excellent organizational skills with the ability to prioritize tasks effectively in a busy environment
- Bilingual abilities are highly preferred to assist diverse customer needs
- Experience with QuickBooks or bookkeeping software is a plus
- Exceptional customer service skills with a friendly demeanor and strong phone etiquette
- Previous clerical experience including filing, proofreading, calendar management, and document organization
- Knowledge of multi-line phone systems and office equipment operation
- Ability to handle sensitive information discreetly while maintaining professionalism at all times
- Personal assistant or medical/dental receptionist experience is advantageous but not required
