    Supports the Risk/Legal team by handling business registration and license compliance, internal prequalification activities and administrative support. Supports vendor setup process, contract administration, prequalification activities, database and file management.


    PRIMARY RESPONSIBILITIES
    Business Registration and License Compliance
    Establishes and maintains any city/state business or contractor licenses necessary for project locations.
    Works with CSC to establish and maintain State Business Registrations and Annual Reports.

    Researches and advises on all necessary licensing requirements for establishing work in a new city/state as a contractor, engineer, or architect.

    Maintains records of all current licensing, CEUs, and requirements for maintaining contractor, engineer, or architect licensure in all cities/states.

    Document Administration and Database Support
    Coordinates the completion of all A305 documents for project proposals.
    Maintains and completes annual updates for all prequalification/preferred vendor systems for McCown Gordon, to include ISNetworld, Avetta, CBRE, etc.
    Works with SVP/General Counsel to maintain federal compliance reporting requirements.
    Supports compliance with Owner Contract required background checks.

    Vendor Setup and Prequalification Support

    Supports the vendor setup process by maintaining 'Agreements' inbox and DocuSign to ensure appropriate communication and follow up with vendors during the setup and updating process.

    Works to address any vendor questions with the PC and Accounting teams to ensure accurate setup/updates across databases and necessary agreements.

    Helps ensure Master Agreements are executed and organized in Procore.


    GENERAL ADMINISTRATIVE
    Coordinates any Team Meetings, Lunches, or Team Building Activities.
    Keeps Loop page up to date with relevant content and updates.
    Schedules meetings for Risk/Legal Team in various conference rooms as needed.
    Takes meeting notes in meetings as needed.
    Continuously strives to improve efficiency and effectiveness of processes.
    Assists members of Risk/Legal Team with special projects.


    MINIMUM QUALIFICATIONS
    1+ years of experience in an administrative position.
    Ability to work independently and think analytically with minimal oversight.
    Database management skills
    Excellent organizational skills
    Excellent verbal and written communication skills
    Proficient in Microsoft Office products
    Construction industry experience preferred.
