Role Overview - About the Role
Polycam is seeking a hands-on proactive, resourceful, and meticulously organized business operations generalist who will play a critical role in driving operational efficiency, fostering collaboration, and supporting the organization's overall success through their diverse skillset and ability to manage various aspects of business operations.
This role is responsible for developing, executing, and monitoring strategic plans and programs, both short- and long-term goals to support business initiatives and the objectives of Polycam.
This includes, but is not limited to, developing and implementing plans for the operational infrastructure in the form of policies, systems, processes, and staff development to improve the overall operations and effectiveness of the organization.
Salary RangeThe salary range for this position is $100,000 - $130,000.
We consider an individual's background and experience in determining the final salary; therefore, the base pay may vary considerably depending on job-related knowledge, skills, and experience.
The compensation package includes medical, dental, vision, financial, and other benefits and equity.Responsibilities - What You'll Do
Maintaining meticulous records, documentation, and filings to ensure compliance with regulations and industry standards.
This may include interaction with and management of recruiting paperwork, new hire paperwork, state business registrations, invoices, receipts, subscriptions, vendors, external stakeholders, internal stakeholders, and others.
Build compliance into all we do, including maintaining in depth knowledge of company policy and processes and legal requirements, helping with running various audits and reports.
Provide HR policy guidance and interpretation, with a critical eye towards developing new, clarifying existing and sunsetting outdated policies as needed.
Process Improvement:
Continuously assess and optimize existing processes and workflows by proposing and implementing improvements to enhance effectiveness and scalability
This could include equipment management and distribution, swag management and distribution, invoice reconciliation, credit card reconciliation, contractor management, monitoring and managing payroll and legal compliance, etc.
Use data to identify trends in employee related issues, turnover and performance trends and provide perspective to solutions for the business.
Participates in regular P&L reviews with the accounting team to ensure budgets are met and provides direction, development, and leadership to production.
Payroll and Compensation
Review bi-weekly payroll reports
Answer all inbound staff payroll and benefit-related questions - be prepared to always act as the first tier of support for staff inquiries
For additional support, serve as liaison to customer support at Gusto if needed
Complete I-9 Employment verification for all new hires
Maintaining proper documentation for employee files
Facilitate the change process for biannual compensation changes and any off-cycle changes relating to merit, promotion, or equity adjustments
Compliance/Policies
Stay up to date on evolving legal requirements and ensure that policies and procedures are compliant with federal, state, and local laws;
Individual state compliance requirements could include changes to paid family leave programs, and policies regarding final wages for terminated employees.
Research, draft, and implement clear policies to guide and support staff throughout the organization;
Complete and submit annual EEOC filing following federal guidelines and compliance standards for our organization.
Cross-Functional Collaboration:
Foster strong collaboration and communication between different teams within the organization, ensuring alignment towards common goals and objectives.
Through stakeholder interactions and team meetings, detect and constructively disrupt information silos by facilitating productive connections and sharing resources.
Ad Hoc Support:
Assist with various ad hoc tasks and projects as needed, demonstrating flexibility and adaptability to meet evolving business needs.
This may include assisting with event planning, coordination, and logistical support.Qualifications - What You Should Have

Ability to work with routine, and/or repetitive activities but also responsive to disruption and change.
Thrives in a dynamic environment and easily acclimates to changes in process/systems for overall improvement of the organization.
Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from both internal and external stakeholders.
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
Demonstrated ability partnering with all levels of an organization.
