Job DescriptionThis role will primarily be responsible for data entry tasks related
to employee physicals and company licensing, ensuring accuracy and confidentiality filling. This position will
also be responsible for researching environmental licensing requirements across various states and
cities. Proficiency in Microsoft Office and Adobe Acrobat is required to effectively support our
administrative operations.
JOB RESPONSIBILITIES:
• Data Entry: Accurately input and update employee physicals, licensing information and training
certifications into the company's database or designated software systems.
• Compliance Support: Assist in maintaining compliance with regulatory requirements by
verifying and organizing relevant documents, ensuring records are up to date and complete.
• Record Keeping: Create and maintain organized and accessible electronic filings for employee
physicals and licensing records.
• Reporting: Prepare routine reports summarizing data related to employee physicals and company
licensing for internal stakeholders.
• Communication: Communicate with internal departments and external entities to gather
necessary information or resolve data discrepancies.
• Administrative Support: Assist with general administrative tasks such as scheduling
appointments, organizing meetings, and providing support to team members as needed.
• Quality Assurance: Review data entries for accuracy and completeness, promptly addressing any
errors or inconsistencies.
• Research: Conduct comprehensive research on environmental licensing requirements in different
states and cities
• Communicate with state and city environmental agencies, local authorities, and relevant
departments to gather accurate and up-to-date information on licensing requirements.
• Consulting with the legal department and advising leadership and management on compliance
matters.
QUALIFICATIONS:
• High school diploma or equivalent. Additional certifications or coursework in administrative or
data management fields are a plus.
• Strong knowledge of Word, Excel, and Outlook to create documents, spreadsheets, and manage
emails effectively.
• Familiarity with Adobe Acrobat for document conversion, editing, and organizing PDF files.
• Excellent attention to detail and ability to maintain accuracy while handling large volumes of
data.
• Demonstrated ability to organize and maintain electronic files systematically.
• Strong multitasking and time management skills to prioritize tasks and meet deadlines.
• Effective verbal and written communication skills to interact with colleagues and external
parties professionally.
• Ability to handle sensitive information with discretion and maintain strict confidentiality.
• Willingness to collaborate and assist team members to achieve departmental goals.
• Ability to adapt to changing priorities and work effectively in a fast-paced environment.
