    JOB SUMMARY: (ALL INCUMBENTS MAY NOT PERFORM ALL DUTIES.)

    Performs responsible, confidential and varied clerical and administrative tasks for the Human Resources department and maintains general departmental/employee records. Position requires a working knowledge of departmental programs, policies and services sufficient to manage routine inquiries and requests.

    ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:

    Answers telephone and greets visitors; provides information and assistance; routes calls to appropriate staff.

    Answers email; provides information and assistance; handles requests for services and complaints.

    Assists job applicants to ensure their applications are complete and successfully submitted; provides additional paperwork (when necessary); photocopies/verifies their identification documents.

    Maintains department personnel records in paper format and assists with scanning into electronic filing system.

    Prepares a variety of forms, correspondence, reports, etc.

    Coordinates the maintenance of office equipment.

    Maintains office supply inventory.

    Schedules meetings, prepares agendas, attends meetings; records, types and distributes meeting minutes; may schedule use of conference rooms.

    Collects/distributes mail for the department.

    Creates photo ID's for new employees using our badge printing system with a webcam.

    Responsible for the cleanliness/management of the front area, inclusive of the lobby area, front desk and breakroom.

    May perform clerical and data entry work related to the function of the Human Resources department.

    Regular and predictable attendance is required.

    Performs other related duties as required.

    MINIMUM QUALIFICATIONS REQUIRED:

    Education and Experience:

    High school diploma or equivalent required.

    A minimum of three years of related experience is required.

    Prior experience working in an office environment is required.

    Licenses and Certifications:

    None.

    Knowledge, Skills, and Abilities:

    Knowledge of modern office principles and practices.

    Knowledge of computers and job-related software programs.

    Skill in the analysis of problems and the development of solutions.

    Skill in the operation of modern office equipment.

    Skill in the preparation of clear and precise communication.

    Skill in assisting the employees and the general public.

    Demonstrated ability of organizational skills; ability to maintain an orderly work area.

    Skill in developing and interpreting oral and written communication.

    General knowledge of departmental policies and procedures and of office terminology, procedures and equipment.

    ADA Minimum Qualifications:

    Physical Ability: Essential functions of this position continuously require the ability to remain in a stationary position (sitting or standing); operate a computer and other office machinery, such as a calculator, copier, and printer. Incumbents must continuously be able to think analytically; handle stress and emotion, concentrate on tasks, remember names and other details; examine and observe details; make decisions, and adjust to change. Incumbents must meet deadlines; stay organized; use math/calculations and use a keyboard/type.

    Essential Functions frequently require the ability to move about inside the office; and move/transport items up to 10lbs.

    Essential functions occasionally require the ability to bend body downward and forward by bending spine and legs, and twisting at the waist, hips or knees; reach overhead; push or pull; and repetitively use hands/arms/legs. Incumbents in this position are occasionally required to be on-call and work irregular hours.

    Sensory Requirements: Essential functions regularly require the ability to use effective verbal and written communication; and use of hand/eye coordination and fine manipulation to use equipment.

    Environmental Factors: Essential functions of this position continuously require the ability to either work with others or work alone.
