Job description
A growing law firm is seeking a dependable and detail-oriented Office Administrator / Legal Billing Coordinator to support daily office operations and assist with billing and client communications.
This is a hands-on role for someone who thrives in a fast-paced environment and can confidently manage multiple priorities with minimal supervision.
Key Responsibilities:
Independently manage day-to-day office operations and resolve routine office matters
Assist with legal billing, invoicing, and collections
Interface with clients and attorneys regarding billing questions
Utilize web-based billing platforms (Cosmolex or similar preferred)
Prepare and maintain office forms, insurance documents, and internal records
Coordinate new employee onboarding
Communicate with IT support and outside vendors
Order office supplies and manage vendor relationships
Handle new and evolving tasks as they arise
Qualifications:
Experience with web-based billing systems (Cosmolex preferred)
Proficiency in Microsoft Outlook, Excel, Word, and Adobe Acrobat
Strong written and verbal communication skills
Excellent data entry accuracy and attention to detail
Ability to multitask and prioritize in a deadline-driven environment
Self-starter who works well independently with limited oversight
Strong organizational skills and ability to stay ahead of daily demands
Professional demeanor when interacting with attorneys, staff, clients, and vendors
