    Position title: Project Assistant

    Status: Non-exempt

    Department: Project Management

    Reports to: Manager Project Manager North America

    Location: Peachtree City, Georgia

    Prepared by: Human Resources

    Position Summary

    The Project Assistant is responsible for processing, maintaining, and entering general administrative related information regarding clients into company's various software programs

    Primary Responsibilities

    • Support setup, maintenance, and finalization of projects within the organization
    • Create required or requested client reports on-demand, daily, weekly, monthly, and/or quarterly as specified by the client and/or dedicated Project Manager
    • Create initial client quotes from information provided by the Project Managers
    • Review/proof client quotes developed by the Project Managers
    • Assist with the creation of, or proofing of, client invoicing
    • Maintain/update the Project Management's process/items in ERP system, SharePoint, and any other management system (handling all the system administrative tasks related to the Project Management responsibilities)
    • Supporting the making of documentation and progress reports of the current projects

    Additional Responsibilities

    • Participate in and sometimes perform on-the-job training (OJT) as required
    • Participate in annual recurrent training specific to duties and other training as recommended by the Distribution department and/or management
    • Contribute to the departmental key performance indicators (KPI)
    • Actively participate in environmental, health and safety processes and procedures
    • Communicate on a frequent basis with internal and external stakeholders
    • Maintains Project Management and Departmental Standards by
      1. Read, understand, and adhere to company procedures, policies and standard operating procedures ("SOP's")
      2. Maintain current knowledge of new trends and innovations in the field of project management evaluate their impact and suggest improvements
      3. Ensure compliance to applicable safety and security standards, procedures and policies
      4. Ensuring compliance to applicable safety and security standards, procedures, and policies
      5. Provide feedback on working instructions and procedures when the opportunity arises
    • Contributes to team effort by
      1. Exploring new opportunities to add value to organization and departmental processes
      2. Helping others to accomplish results
      3. Performing other duties as assigned and deemed necessary

    Qualifications

    • Diploma/GED or Relevant Bachelor's or equivalence working proficiency through extensive documented experience
    • Excellent relationship building skills and demonstrated ability to work collaboratively as part of an effective team to reach goals, solve problems, and make decisions
    • Proven decision-making and problem-solving skills
    • Good communicator, self-directed, motivated and goal oriented
    • Service and customer oriented
    • Flexible
    • Excellent attention and orientation towards meticulous work
    • Basic understanding of GxP guidelines and regulations
    • Strong computer skills (MS Word, MS excel, ect.)
    • Excellent interpersonal and communication skills, both verbal and written
    • Knowledge of ISO9001:2015 a plus
    • Basic understanding of Good Clinical Practice (GCP) a plus

    Working Conditions

    • Lifting and Carrying: Able to carry up to 10 pounds on an intermittent basis
    • Hearing: Corrected hearing able to respond to emergency alarms, alerts, and warnings Ability to hear via telephone, teleconference, and work-related conversations
    • Pushing/Pulling/Manipulation: Able to push and pull items in the workplace
    • Sitting: Able to sit and work in front of a computer or other machine for extended periods of time
    • Squatting/Kneeling: Able to squat and kneel as needed to retrieve or place items on low shelving
    • Standing: Able to stand for extended periods of time
    • Physical requirements are like a moderate activity job
