    Job Summary

    The Education Program Manager is responsible for the ongoing administration of Phase 2 of the Sidney Kimmel Medical College (SKMC) curriculum. This position works collaboratively with the Phase 2 Director, Clerkship Directors, Clerkship Coordinators, senior leadership, and small group leaders to ensure optimal delivery of the curriculum to students in their third year of medical school. The Program Manager oversees curricular management and assessment operations, gathers and analyzes programmatic data, and provides technical and administrative support of the Phase 2 curriculum.

    Essential Functions
    • Interacts with co-workers, visitors, and other staff consistent with the values of Jefferson.
    • Manage curricular development, implementation, and execution of Phase 2 and all its components. This includes logistical duties (scheduling, room reservations, tracking student participation and absences, task completion, and program evaluations) and administrative duties (communication, meeting scheduling, event arrangement) as assigned by the supervisor.
    • Oversee evaluation and assessment of students across various assessment platforms. Included are scheduling assessments for all courses within the curricular phase, arranging for appropriate testing environment and administration for students who require testing accommodations, booking of rooms for assessments, supervision of assessment proctors, independent problem solving for any issues that arise during assessment administration, tracking of missed assessments and failed assessments and remediation procedures and outcomes.
    • Establishment of best practices by working with UME leadership, administration, staff, faculty, and students to create and maintain collaborative workflows.
    • Manage accurate and complete database of all documents, timelines, policies, procedures, and performance metrics.
    • Provide "dotted line" supervision of the departmental coordinators who support various courses within the corresponding curricular phase; responsible for onboarding, feedback on performance, supporting development of performance improvement plans if needed, and monitoring of improvement plan outcomes. Coordinate and lead monthly departmental coordinator meeting.
    • Develop, maintain, and monitor compliance of administrative and assessment policies and processes; ensure policies are current across all student, faculty, and staff platforms.
    • Independently create and maintain detailed documentation of all continuous quality improvement measures for the SKMC curriculum annually.
    • Gather, analyze, and disseminate programmatic assessment data.
    • Serve as administrative point of contact for UME affiliate clinical sites, their directors and coordinators.
    • Provide administrative support for the subcommittee of the Curriculum Committee for the assigned curricular phase. Manage meeting scheduling, minutes, and materials.
    • Supervise course use of the learning management system; perform and coordinate uploads of appropriate content; control user access to the appropriate portions of learning management system. Provide support for curricular calendaring.
    • Supervise and administer all aspects of the NBME Subject Examination program. Duties include exam ordering and payment to the National Board of Medical Examiners, creation of testing schedule for 8 different courses, creation of a separate schedule for students who need assessment accommodations, booking rooms for exams, serving as a head proctor and orientation/onboarding of new exam proctors, keeping track of schedules of students who missed exams for various reasons and rescheduling them, keeping track of students who failed exams and their remediation processes and re-examination, proctoring exams for extra exam dates and make up exam dates throughout the year, maintenance of records for all exam-related activities, and communication around various exam aspects to phase director, clerkship directors and coordinators, Student Affairs, and senior SKMC leadership.
    Competencies (Knowledge, Skills, and Abilities Required):
    • Must have outstanding organizational, written and oral communication skills.
    • Must have outstanding initiative and be able to problem-solve, adapt, and independently manage competing deadlines and priorities.
    • Proficient in keyboarding.
    • Advanced proficiency in educational technologies, including previous experience working with learning management systems, assessment software (New Innovations strongly preferred), web-based platforms, and applications for word processing, spreadsheets, databases and presentations.
    Qualifications

    Minimum Education and Experience Requirements:

    Education:

    Bachelor's degree required, Master's preferred.

    Experience:

    Five years of prior related experience; previous experience in higher education preferred, particularly curriculum support for medical school education.

    Conditions of Employment

    Covid Vaccination is a requirement for employment at Jefferson for employees working at Jefferson's clinical entities or at the University.
