- Oversee inbox management, drafting replies and escalating when necessary.
- Coordinate with their organizations to ensure seamless alignment across various projects, meetings, and deadlines.
- Prepare briefing materials, itineraries, and follow-up notes for meetings and events.
- Draft occasional external communications (e.g., LinkedIn posts, event messages) to support the principals' thought leadership.
- Handle complex family calendars, including school schedules, medical appointments, extracurricular activities, and travel arrangements for two young children.
- Collaborate with nannies, chefs, housekeepers, landscapers, dog walkers, and property managers.
- Oversee relationships with household vendors, ensuring efficient service across both the primary San Francisco residence and vacation properties in Healdsburg and Big Sur.
- Lead household projects, including wrapping up their move into a new residence scheduled for January 2026.
- Maintain readiness of all homes for guests at all times.
- Organize intricate domestic and international travel for the principals and family, covering logistics, accommodations, transport, and contingencies.
- Ensure that the principals arrive prepared, rested, and briefed for critical engagements.
- Plan personal and professional events such as fundraising dinners, intimate gatherings, holiday celebrations, and philanthropic functions.
- Occasionally accompany the family for onsite support during events.
- Establish and maintain systems for scheduling, bill payments, renewals, and household accounts.
- Track and reconcile expenses, ensuring financial organization.
- Maintain documentation and shared checklists across households to guarantee consistent operations.
- Anticipate potential issues and resolve them proactively.
- Principals regain valuable work time.

- Experience: At least 5 years supporting senior executives or high-net-worth families in demanding settings (startup, family office, investment firm, or similar).

- Ownership: Demonstrates complete accountability with strong follow-through.
- Judgment: Knows when to escalate inquiries to the Chief of Staff versus handling independently.
- Organization: Expert in calendar management, travel coordination, and system design.
- Skills: Proficient in Google Suite (Sheets required), with strong writing and design skills. Spanish fluency is a plus.
- Personality: Exceptionally reliable, discreet, proactive, adaptable, and comfortable with children and pets.
- Availability: Must be local to San Francisco or prepared to relocate at their own expense. On-site presence is non-negotiable, with a 24/7 mindset balanced with practical boundaries.
