We are seeking a highly organized and detail-oriented HR and Billing Associate to join our team. This dual-role position is ideal for someone who enjoys working in a fast-paced environment and has a passion for both human resources and billing operations.

    Job Summary:

    The HR and Billing Associate will be responsible for managing various HR functions, including recruitment, employee onboarding, and benefits administration, as well as handling billing and invoicing processes. This role requires excellent communication skills, attention to detail, and the ability to multitask effectively.

    Key Responsibilities:

    Human Resources:

    • Assist in the recruitment process, including posting job advertisements, screening resumes, and scheduling interviews.
    • Conduct new employee onboarding, including orientation and necessary paperwork using our HR management system.
    • Maintain employee records and ensure compliance with company policies and legal requirements using our HR management system,
    • Assist in administering employee benefits programs and addressing employee inquiries.
    • Coordinate training and development programs for staff.
    • Support performance management processes and employee relations initiatives.
    • Assist in the development and implementation of HR policies and procedures.

    Billing:

    • Prepare and send invoices to clients in a timely and accurate manner.
    • Monitor accounts receivable and follow up on overdue payments.
    • Reconcile billing discrepancies and resolve client billing inquiries.
    • Oversee purchase orders and segregate agency expenses from client-specific out-of-pocket expenses.
    • Establish vendor accounts when necessary and foster positive vendor relationships.
    • Maintain billing records and ensure accuracy of billing information.
    • Generate regular reports on billing activities and financial performance.
    • Collaborate with the finance team to ensure accurate and efficient billing processes.

    • Manage accounts payable with our vendors and balance payments with cash flow.
    • Prepare bank deposits, verify bank statements and issue credit memos.
    • Administer employee expense reimbursements and maintain optimal cash flow.
    • Oversee the agency's financial accounts, including checking, savings, and lines of credit.

    Additional Responsibilities

    • Oversee company assets, including furniture, equipment, and software.
    • Oversee general office needs

    Qualifications:

    • Bachelor's degree in Human Resources, Business Administration, Finance, or a related field.
    • Proven experience in both HR and billing roles.
    • Strong understanding of HR principles and practices.
    • Proficiency in billing software and office applications, particularly Spreadsheets.
    • Excellent organizational and time management skills.
    • Strong attention to detail and accuracy.
    • Effective communication and interpersonal skills.
    • Ability to handle sensitive information with confidentiality and professionalism.
    • Problem-solving skills and ability to work independently as well as part of a team.

    Preferred Qualifications:

    • Certification in HR (e.g., SHRM-CP, PHR) is a plus.
    • Experience with QuickBooks and Clients & Profits.
    • Knowledge of labor laws and regulations.
