    About the Job:

    Sandy Spring Bank is recruiting for a Bank Operations Policies & Procedure Specialist l. The selected individual will be responsible for assisting the Bank Operations Policy & Procedure (BOPP) Coordinator conduct review sessions with business lines to obtain/review project details, coordinate resources, and technical requirements related to new and existing processes. May manage aspects of projects from inception to implementation to ensure adherence to process governance requirements. Specialist will work closely with various members of the Bank Operations business units and support teams to complete analysis on business policies, procedures, and job aids to meet the banks overall strategic goals.

    MAJOR JOB ACCOUNTABILITIES:

    Document Writing 25%

    • Create documentation solutions that support business need and align with internal document standards, styles, and best practices
    • Work with business units to ensure revisions to existing documents, procedures for new Bank products or services, or new regulatory requirements are updated in accordance to style governance in a timely manner
    • Ensure process owners identify all required elements according to style governance
    • Demonstrates ability to translate high level conceptual information and ideas through to execution of documents in a manner that is thorough and applicable for the intended audience
    • Collaborate with BOPP Coordinator and other governance teams to ensure consistency

    Document Management- 40%:

    • Responsible for coordinating review and testing of new documents to determine accurate content and appropriate usage of the templates, style guides, and systems
    • Assists with review of documents for format consistency and ease of understanding
    • Assists with coordinating the annual review of P&P documentation using system reports, tracking, and other resources as necessary
    • Assist BOPP Coordinator with tasks related to management of the Banks Knowledge Base System, including performing any user acceptance testing pertaining to system upgrades or enhancements implemented by the vendor(s).
    • Discover and escalate evidence based recommendations for potential enhancements and/or process gaps
    • Supporting the update and review of the Monitoring Plan for all document types
    • Remain current on major policies and procedures for Bank Operation business areas

    Project Management 20%

    • Interface with stakeholders and SMEs to gather appropriate details related to policy, procedure, and job aid requirements. Individual will also conduct a Needs Analysis, as needed, for assigned projects
    • Work closely with other support department (Risk Management, Reg Management, LaPD, BPM etc.) personnel to ensure all applicable requirements are included in documentation
    • Support special projects as assigned
    • Prepare presentations and/or proposals related to assigned projects
    • Assist in the implementation of process improvement, which may include creation of process maps, related to assigned projects
    • Efficiently manage internal and external resources to meet milestones and targeted completion dates
    • Support change management practices related to the operations policy and procedure program

    Training Coordination -- 15%

    • Assist with training of Bank Operations business units on how policies, procedures, and job aids are to be structured and written in compliance with the Banks process documentation governance initiative
    • May coordinate and assists in conduction of initial onboarding training for new Bank Operations employees
    • Coordinates with LaPD team to design and develop various training solutions to support division-wide objectives (sales, service, regulatory, etc.)
    • Assists with development of process-specific material to enhance skills required to perform job responsibilities
    • Coordinate with SMEs to validate course content, specifically related to procedures
    Required Skills:

    KNOWLEDGE, SKILLS, AND ABILITIES:

    • Position requires at least 1 year of banking experience. Prior significant experience in financial institution credit, deposit, and operations with a strong knowledge base of financial institution controls are key components.
    • Bachelor of Science/Bachelor of Arts degree, ideally in English or Business Administration, preferred but not required.
    • Must have a thorough knowledge of general banking products, regulations, and processes.
    • Proficient in Salesforce, Microsoft Office, including Word, Excel, PowerPoint, and Outlook.
    • Must possess strong oral and written communication skills with an emphasis on proficiency in written communications, specifically process documents. Must also have excellent communication skills to effectively work with diverse groups of internal & external stakeholders.
    • Strong attention to detail, including the ability to accurately edit written documentation
    • Work is under minimal supervision, where the work requires a higher level of problem solving skills; situations require general knowledge of the work and the department.
    • Ability to travel to remote sites within the Maryland, Northern Virginia, and DC area and possess a valid Drivers License.

    SPECIFIC PHYSICAL REQUIREMENTS:

    Work requires reasonable mobility in and around the work area. Ability to use standard computer and phone systems is required.

    WORKING CONDITIONS:

    Normal office environment where there is almost no discomfort due to temperature, dust, noise, or other disagreeable elements.

    Work includes little or no potential exposure to hazardous conditions.

    Must be able to travel to remote company and/or client locations as needed.
