    Description

    We are seeking a highly organized and detail-oriented Executive Administrative Assistant to support a senior executive within our organization. The ideal candidate will be proactive, resourceful, and able to handle multiple tasks efficiently. This individual will play a key role in managing calendars, handling expense reimbursements, credit card reconciliations, and coordinating travel and events for the senior executive.

    Responsibilities:

    · Manage and maintain the executive's calendar, scheduling appointments, meetings, and conferences.

    · Maintain relationships and communicate with other executive admins of clients and partners.

    · Coordinate travel arrangements including flights, accommodations, and ground transportation for the executive and occasionally other team members.

    · Process expense reimbursements in a timely and accurate manner, ensuring compliance with company policies.

    · Handle credit card reconciliations, track expenses, and maintain organized records.

    · Assist in planning and coordinating various events such as team meetings, conferences, and off-site retreats.

    · Act as a liaison between the executive and internal/external stakeholders, including clients, partners, and vendors.

    · Prepare and edit correspondence, communications, presentations, and other documents as needed, including social media handles and board material presentations.

    · Conduct research, compile data, and prepare reports as requested by the executive.

    · Provide general administrative support including answering phone calls, responding to emails, and managing office supplies.

    Requirements:

    · Proven experience as an executive administrative assistant or similar role, preferably supporting C-suite executives.

    · Exceptional organizational and time-management skills with the ability to prioritize tasks effectively.

    · Strong attention to detail and accuracy in handling financial transactions and records.

    · Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.

    · Excellent communication and interpersonal skills, with the ability to interact professionally with individuals at all levels.

    · Ability to maintain confidentiality and exercise discretion in handling sensitive information.

    · Flexibility and adaptability to handle changing priorities and work under pressure.

    · Bachelor's degree or equivalent work experience preferred.
