Become a key part of our growing 200+ person team as an Administrative Assistant in the realm of commercial construction Your role will be pivotal in supporting our project execution endeavors. This position is perfect for those who are naturally proactive, excel in both coordination and communication, and are able to help ensure projects progress smoothly and efficiently.
In this role, the Construction Administrative Assistant will play an essential part in the administrative project coordination of our commercial construction operations, collaborating closely with project managers, clients, and team members to drive the timely and successful completion of construction projects. Your attention to detail and ability to manage tasks efficiently will be the reason why you will have the opportunity to advance to a Project Manager.
Key Duties:
Assist the Project Manager in the timely delivery of construction projects.
Maintain an administrative schedule for all aspects of the project.
Promptly and efficiently carry out the Project Manager's directives.
Participate in research and development sessions, contributing when possible.
Facilitate project closing processes, including the handover of warranty information, operation, and maintenance manuals to the Project Owner and Architect.
Ensure project documentation and records are accurately maintained.
Oversee routine correspondence and manage outgoing communications.
Organize and maintain project-related files and records.
Offer administrative support to the project team as necessary.
Qualifications:
Ability to focus on detail.
Strong verbal and written communication skills.
Proficiency in Microsoft Office Suite and familiarity with Project Management software is a plus.
A strong team player capable of working in a collaborative environment.
Educational and Professional Experience:
1-3+ years in an administrative role, with a preference for experience in a commercial construction company of any kind (HVAC, electrical, general contractor, etc).
Knowledge of Project Management software, along with Excel and word processing applications.
A basic understanding of the construction sector is advantageous.
