    Office Manager / Client Manager Job Description

    Our company is Intelligent Office. We provide reception and administrative support services to a variety of businesses in an entirely new way. It's different, it's exciting and it's never monotonous. Intelligent Office brings big business infrastructure to any sized business through friendly and professional administrative support and premier office space.

    We have an immediate need for a leader with good communications skills, great at multi-tasking, handling an array of administrative tasks, including but not limited to managing emails and calendars of busy executives, and work a very active switchboard. This individual will be onsite to manage the everyday activities of the Office and Staff, as well as assist in prospecting and sales.

    The Office Manager will have three main areas of responsibility: Organizing and Coordinating the Office and Team; Client Care and Support; and Sales. Intelligent Office provides support services to a wide array of businesses; professionalism, detail, and communication are critical.

    We work in an upscale office environment with a fair amount of personal interaction with our clients. We are looking for a friendly, confident, and articulate person who makes a good first impression in person as well as on the phone. This is a job with a variety of tasks, not all of which are done routinely. If you are looking for daily variation in tasks, this is the job for you If you are looking for routine and have no ability for critical thinking, this is not the place for you

    Office Manager Responsibilities:

    • Lead, manage, and assist local team in growing and providing the support and assistance required by diverse client base
    • Client Account management and support
    • Customer service to a diverse client base
    • Operating a high-volume switch board for a variety of different businesses
    • Plan and schedule appointments and events
    • Calendar management
    • CRM Data Entry
    • Managing Client Emails
    • Greet and assist onsite guests and clients
    • Answer inbound telephone calls
    • Perform all other office tasks such as filing, spreadsheets, copying, faxing, etc
    • Corporate social media maintenance

    · Network / Prospect in local Chambers and Networking events

    · Client Setup and Account Management

    Office Manager Requirements:

    · Previous experience in office administration / office management

    · Excellent written and verbal communication

    · Excellent team management and quality control skills

    · Networking / Prospecting experience a plus

    · Willingness to learn any skills not yet possessed

    · Ability to prioritize and multi-task

    · Computer skills (Microsoft, Google, Social Media)

    · Strong attention to detail

    · Ability to perform job functions of those supervised (administrative / receptionist team)

    · Professionalism at all times

    We're hiring a person with the right attitude. We will train you. We do use computers – proficiency with Microsoft / Windows based software and task management skills are required.

    Job Type: Full-Time
