Property Management Maintenance Coordinator
Department: Property Management
Reports To: Property Manager / Director of Operations
Employment Type: Full-Time
Position Summary
The Maintenance Coordinator is responsible for overseeing and coordinating maintenance and repair activities across the property portfolio. This role ensures timely resolution of work orders, effective communication with residents and vendors, and compliance with safety and quality standards. The ideal candidate is highly organized, detail-oriented, and experienced in property maintenance operations.
Key ResponsibilitiesWork Order Management
- Receive, prioritize, and assign maintenance requests.
- Track work orders from initiation to completion.
- Ensure timely response and resolution in accordance with company standards.
- Follow up with residents/tenants to confirm satisfaction.
Vendor & Contractor Coordination
- Schedule and coordinate third-party vendors and contractors.
- Obtain and review bids for repairs and projects.
- Verify vendor insurance, licensing, and compliance requirements.
- Monitor vendor performance and maintain strong working relationships.
Preventive Maintenance
- Coordinate routine inspections and preventative maintenance programs.
- Maintain service schedules for HVAC, plumbing, electrical, and other building systems.
- Assist in developing maintenance plans to reduce long-term repair costs.
Communication
- Serve as a primary point of contact for maintenance-related inquiries.
- Provide updates to residents, property managers, and ownership.
- Maintain accurate documentation of all maintenance activities.
Budget & Reporting
- Track maintenance expenses and assist with budget monitoring.
- Approve invoices and ensure proper coding.
- Generate maintenance reports as requested by management.
Compliance & Safety
- Ensure compliance with local, state, and federal regulations.
- Maintain safety standards for staff, vendors, and residents.
- Support emergency response procedures as needed.
Qualifications
Education & Experience
- High school diploma or equivalent required; Associate's or Bachelor's degree preferred.
- 2+ years of experience in property management, facilities coordination, or maintenance operations.
Skills & Competencies
- Strong organizational and multitasking abilities.
- Excellent communication and customer service skills.
- Knowledge of building systems (HVAC, plumbing, electrical).
- Experience with property management software preferred.
- Ability to prioritize in a fast-paced environment.
- Proficiency in Microsoft Office or Google Workspace.
Physical Requirements
- Ability to occasionally walk properties and inspect maintenance issues.
- May require lifting up to 25 pounds.
Work Environment
- Primarily office-based with regular on-site property visits.
- May require occasional after-hours response for emergencies.
