Overview
We are seeking a dynamic and highly organized Administrative Assistant to join our team This vital role offers the opportunity to support daily office operations, enhance workflow efficiency, and provide exceptional customer service. The ideal candidate will bring enthusiasm, attention to detail, and a proactive attitude to ensure the smooth functioning of our administrative functions. Whether managing schedules, handling correspondence, or assisting with bookkeeping, you'll play a key role in creating a positive and productive work environment.
Duties
- Manage front desk responsibilities, greeting visitors and directing them appropriately with professionalism and warmth
- Operate multi-line phone systems, answer inquiries promptly, and transfer calls efficiently using proper phone etiquette
- Maintain organized filing systems, including digital files via Google Workspace and Microsoft Office applications
- Perform data entry tasks accurately, including updating records in QuickBooks and other accounting software
- Support office management activities such as supply ordering, calendar management, and appointment scheduling
- Assist with clerical tasks like proofreading documents, preparing correspondence, and managing incoming/outgoing mail
- Provide customer support by addressing inquiries via phone or email and ensuring excellent service standards are met
- Conduct basic bookkeeping duties including invoicing, expense tracking, and reconciling accounts when needed
- Support medical or dental reception duties if applicable, including patient check-in/out and appointment coordination
- Handle personal assistant tasks such as calendar management for executives or team members
Skills
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools
- Experience with QuickBooks or similar bookkeeping software for financial record-keeping
- Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
- Demonstrated office management experience combined with clerical expertise in filing, data entry, and proofreading
- Exceptional customer service skills paired with professional phone etiquette and strong interpersonal communication
- Ability to manage multi-line phone systems efficiently while maintaining a friendly demeanor
- Proven time management skills to handle multiple responsibilities simultaneously without compromising quality
