Role & Responsibilities
As an Operations Assistant / Office Manager, you will be responsible for supporting activities to deliver the highest level of service to the firm's clients. Below are some of the day-to-day tasks:
● Process requests received from the Operations Manager, advisors, and clients, including sourcing and providing documents and accurate information as needed
● Prepare client service forms and follow up with providers to completion
● Create and maintain organized records and files utilizing Client Relationship Management (CRM) software, client portal, client lists, and paper files
● Serve as the first point of contact to provide positive daily interactions with clients, prospects, and investment partner companies on the phone, in the office, and through mailings
● Schedule, confirm, and prepare appropriate materials for upcoming client appointments and event registrations
● Maintain a clean and organized office
● Assist with client events as needed
Requirements
● 3-5+ years of experience as an Administrative Assistant, Office Manager, or Customer Service Representative in an industry where preparing accurate and sensitive forms or records and documentation is required (Financial Services, Real Estate, Insurance, Escrow, Banking, or similar industries)
● Bachelor's degree or equivalent combination of experience, education, and training
● Passionate and dedicated to providing the highest level of service to clients
● Comfortable learning and documenting new processes, tools, and technologies
● Recognize the importance of keeping cyber security and confidentiality protocols with attachments and emails top of mind
● Track record of resourceful and communicative problem-solving
● Self-directed with a strong attention to detail, and the ability to take initiative to ensure that tasks are completed efficiently and accurately
● Able to learn new technology and systems to improve client experience and effectively manage tasks
● Comfortable using and learning cloud-based server systems, including quickly learning and adapting to new web-based systems and portals (including CRM or customer databases for activity tracking)
● Experience working in Microsoft Office Suite, with beginner to intermediate proficiency in Excel
● Utilize strong organizational skills to manage multiple tasks and changing priorities, keeping the team informed of progress or delays
● Demonstrate professionalism, reliability, and timeliness
● Contribute to a positive team-oriented environment
Compensation: $70K+ (depending on experience) per year plus opportunity for bonuses and profit sharing
Work Schedule: Monday to Friday from 8:00 am to 4:30 pm
