- Manage incoming calls by directing them to the appropriate contact within the organization; offer courteous, respectful, and professional customer service to all callers and visitors
- Welcome guests, employees, and delivery staff, and address parking or transportation needs
- Regularly update office materials such as phone directories, floor layouts, contact information cards, visitor passes, and other related resources as necessary
- Address general inquiries and requests; monitor the OHSU Foundation's general email inbox, ensuring timely resolution or appropriate escalation
- Keep departmental policies, procedures, guidelines, and forms updated (in both hard copy and electronic formats)
- Assist the Facilities Manager in setting up new hires; ensure employees have necessary office supplies and assist with familiarization of facilities equipment
- Support meetings and events, including arranging conference rooms and communal spaces as required
- Prepare and process payment requests for invoices; handle invoices via the Oracle system and forward them for accounts payable processing
- Maintain and revise departmental policies, procedures, guidelines, and forms (both hard copies and electronic versions) and establish an organized method for tracking, distributing, or posting on shared platforms or the intranet
- Demonstrates strong communication and interpersonal skills; delivers exceptional customer service to all staff, vendors, and visitors
- Exhibits effective project management and organizational abilities; takes the lead and manages multiple projects and priorities autonomously
- Has a keen eye for detail; committed to fostering a neat, professional, and hospitable office environment for employees and visitors
- Proficient in Microsoft Word, Excel, Outlook, and PowerPoint
