    Responsibilities

    Job Summary / Purpose


    With a complete order from the physician/advanced practice provider (APP), the Clinic Scheduler Coordinator is responsible for scheduling all inpatient and outpatient surgery and medical procedures, tests and studies.

    This position provides support, and communicates necessary information to patients and providers regarding surgery scheduling.

    The Clinic Scheduler Coordinator works within the various care teams to facilitate timely access to procedures and surgeries to enhance the patient experience.


    Essential Key Job Responsibilities

    • Schedules procedures and/or surgeries in an applicable facility setting considering the availability of procedure room, equipment, staff and anesthesia care provider utilizing EMR scheduling software.
    • Coordinates surgeries and/or procedures with multiple providers on cases in the same department and with other departments.
    • Gathers specific patient demographic and provider information to accurately determine the appropriate procedural or surgery appointment times and location based on availability of the provider and the procedural location.
    • Coordinates, registers and schedules procedures and surgeries for patients according to availability and physician/APP direction.
    • Conducts patient precertification on proper insurance approval for appointments and medical care.
    • Ensures all preoperative required tests needed prior to surgery are scheduled and completed, including coordination with outside vendors if necessary (device reps etc)
    • Works with several complex scheduling workflows, manages phone calls, online requests, order indexing etc.
    • Is knowledgeable regarding insurance/billing relevant to facility licensure; acts as a patient resource with patient accounts.
    • Maintains open and positive communication with staff, physicians, and other departments.
    • Properly advises patients of procedural/surgical instructions and other pertinent information to ensure the patient is prepared for their procedure or surgery.
    • Facilitates follow up care working closely with patients/family members, referring physicians, and clinic referral staff.
    • Manages incoming calls, dept scheduling requests, and voice messages related to scheduling department requests.
    • Manages direct fax scheduling requests and handling of scanned documents with On Base software.
    • Performs other duties as assigned by the practice manager or physician.

    Qualifications

    Minimum Qualifications:

    • High School Diploma or GED required
    • 2 years of customer service experience in a call center or physician's office required
    • 1 year of experience in the healthcare field using medical terminology strongly preferred

    Pay Range
    $ $28.35 /hour
