We are urgently hiring an experienced Office Manager to support our client, a leading medical device manufacturing company located in the greater Lake Forest, CA, area.     Job Description/Duties:

    • Directly support the CEO. Provide support to other employees as needed.
    • Interact with the Board of Directors
    • Communicate with and provide support as needed to legal, financial/accounting, corporate insurance, and other entities, vendors and consultants.
    • Direct or coordinate the supportive services of outside businesses, agencies, or organizations.
    • Manage the HR function, including hiring and termination of employees, processing payroll, maintaining personnel files, overseeing employee benefits, working with the outsourced payroll/HR entity, ensuring government reports and taxes are timely filed and paid.
    • Maintain accurate financial records using Microsoft Excel and QuickBooks. Prepare and review financial reports and schedules.
    • Organize and prioritize tasks; monitor deadlines.
    • Acquire, distribute and store supplies.
    • Communicate effectively verbally and in writing as appropriate for the needs of the audience.
    • Communicate effectively with supervisors, peers, or subordinates.
    • Use logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions or approaches to problems.
    • Analyze internal processes and recommend and implement procedural or policy changes to improve operations, such as supply changes or the disposal of records.
    • Monitor the facility to ensure that it remains safe, secure, and well-maintained.
    • Attend seminars, training classes, etc. to maintain currency in HR/personnel processes, accounting, and software updates.

    Qualifications:

    • Ability to read, analyze, and interpret common business, financial and legal documents.
    • Ability to respond to common inquiries from employees, consultants, service providers and vendors.
    • Ability to write reports and correspondence. Ability to effectively present information to all levels.
    • Ability to apply mathematical operations to such tasks as accounting, payroll, financial statements.
    • Ability to apply principles of logical thinking to a wide range of intellectual and practical problems.
    • Ability to deal with nonverbal symbolism (formulas, scientific equations, graphs, etc.). Ability to deal with a variety of abstract and concrete variables.

    Computer Skills:

    • To perform this job successfully, an individual should have knowledge of Microsoft Word, Microsoft Excel, internet software, and QuickBooks software.

    Education/Experience:

    • Associate's degree (A. A.) and four to twenty years related experience and/or training; or equivalent combination of education and experience.
