Job Summary
Serves as administrative support for department leaders large-scale programs and processes Manages complex calendars scheduling meetings prioritizing appointments and resolving conflicts Coordinates travel itineraries and expense documentation Coordinates logistics for searches including scheduling interviews candidate communications and confidential materials Supports virtual and hybrid meetings by managing video conferencing platforms meeting links recordings and related technology needs Maintains employee rosters other types of records including motor vehicle requests mobile telephone device upgrades meal ticket distributions and other records as needed Pulls and reviews budget reports assists with monitoring expenditures supports budget purchasing corrections in alignment with university divisional financial policies Processes purchasing requests requisitions purchase orders in accordance with university divisional policies Orders necessary supplies for large scale programming daily operations office supplies Daily utilization of technology systems calendar management document management virtual meeting platforms collaboration tools Assists in developing policies procedures department role Shares knowledge best practices resources to improve efficiency team effectiveness utilizing documenting standard operating procedures Collects data assist preparation events programs departmental reports Coordinates communication units support department initiatives Provides prompt high-level customer service internal external constituents Follows University Departmental policies procedures address resolve questions problems emergencies Maintains confidentiality sensitive privileged information Performs duties normally associated Secretary I II ensure completion work Additional Qualifications May require valid vehicle operator license perform duties position Other skills physical abilities required perform duties position This position requires prior completion probationary period knowledge basic personal computer terminology operations ability use email Internet All positions RHS designated critical status Event university closure modification suspension operations snow emergency condition persons position expected make reasonable attempts report work scheduled duration closure/suspension If person approved remote work agreement portion normally scheduled hours remotely called upon serve MSU community Minimum Requirements Knowledge acquired through high school education three five years related progressively more responsible expansive work experience maintaining accounting ledgers experience word processing spreadsheet database desktop publishing software Job will require knowledge presentation web page software technical terminology training field employment equivalent combination education experience Desired Qualifications Previous experience managing department leaders calendars Exceptional organization time management Understanding operational excellence workflow efficiency Ability work independently manage competing priorities Proficiency Microsoft Office suite especially Outlook Teams Excel Access Knowledge MSU systems policies processes Equal Employment Opportunity Statement All qualified applicants receive consideration employment without regard race color religion sex sexual orientation gender identity national origin citizenship age disability protected veteran status Required Application Materials Resume/Cover letter Work Hours STANDARD 8-5 Bidding eligibility ends February 2026 at P.M.}
