Description
We are seeking a detail-oriented and strategic Proposal Specialist to join our team. In this role, you will be the primary driver of our RFP/RFI response process, managing and producing high-quality, compliant proposal content that clearly communicates our company's capabilities and value.
Proposals frequently span multiple correctional services—including technology, commissary, food service, and communications and require strict adherence to public-sector procurement standards. You will collaborate closely with subject matter experts across operations, technology, finance, sales, and leadership to develop persuasive, accurate, and well-structured submissions.
In addition to proposal management, this role provides executional marketing support for tradeshows and promotional events, assisting with branded materials and event coordination. The ideal candidate is an exceptional writer with strong project management skills, meticulous attention to detail, and the ability to manage multiple priorities in a fast-paced, deadline-driven environment.

Essential Duties and Responsibilities:
Primary Responsibilities - Proposal Management (70-80% of role)
- RFP/RFI Management: Review and analyze RFP/RFI requirements, ensuring all submission criteria and deadlines are met with complete accuracy and compliance.
- Proposal Development: Develop, write, and edit proposal responses, tailoring content to client needs and organizational strengths while maintaining persuasive and professional quality.
- Cross-Functional Collaboration: Collaborate with subject matter experts, sales, and business development teams to gather technical, operational, and financial information for proposals.
- Content Library Management: Maintain a centralized proposal content library with updated company information, case studies, boilerplate responses, and supporting materials.
- Quality Assurance: Ensure all submissions are compliant, accurate, and aligned with company branding, style, and messaging standards. Conduct final reviews to ensure proposals are polished, persuasive, and error-free.
- Project Coordination: Coordinate proposal timelines, deadlines, and deliverables across departments, managing multiple submissions simultaneously.
- Process Improvement: Support continuous improvement of the RFP process by developing templates, style guides, and process documentation.
Secondary Responsibilities - Marketing Support (20-30% of role)
- Promotional Materials Management: Curate, source, and oversee the production and distribution of branded swag and promotional materials that resonate with target audiences and reinforce brand identity.
- Event Marketing Support: Assist with pre-event marketing campaigns, promotional content development, and post-event follow-up materials.
- Tradeshow Coordination: Support tradeshow and event logistics including collateral preparation, swag distribution planning, and vendor coordination as needed.
- Marketing Collateral: Collaborate with creative teams to develop engaging booth displays, event materials, and branded collateral.
Requirements
- Bachelor's degree in English, Communications, Marketing, Business, or related field (or equivalent work experience).
- 2+ years of experience in proposal writing, RFP management, or technical writing (industry specific experience preferred).
- Excellent writing, editing, and proofreading skills with attention to detail.
- Experience and Knowledge of Adobe Creative Suite.
- Strong organizational and project management abilities to handle multiple deadlines.
- Proficiency in Microsoft Office Suite and proposal management tools (e.g., Loopio, or similar).
- Ability to work collaboratively with cross-functional teams and communicate complex information clearly.
- Knowledge of compliance requirements and proposal best practices is a plus.
