- Assist in the development and maintenance of resource allocation plans to meet project demands and timelines.
- Monitor and report on resource availability and capacity, ensuring optimal utilization.
- Collaborate with project managers to forecast resource needs and address any potential resource conflicts.
- Coordinate the onboarding process for new hires, ensuring all necessary documentation and training are completed.
- Serve as the primary point of contact for new employees during their onboarding period.
- Maintain and update onboarding materials and documentation.
- Generate and analyse reports on resource utilization to provide insights and recommendations for improvement.
- Track and report on key performance indicators (KPIs) related to resource management.
- Schedule and coordinate training sessions for staff, ensuring all necessary materials and resources are available.
- Maintain training records and monitor the completion of mandatory training programs.
- Liaise with trainers and external training providers as needed.
- Oversee the time entry process for partners, ensuring accurate and timely submissions.
- Manage the creation, approval, and tracking of partner purchase orders.
- Reconcile partner invoices with POs and time entries to ensure accuracy and compliance.
- Provide general administrative support to the operations team, including scheduling meetings, preparing reports, and maintaining records.
- Assist in the development and implementation of operational processes and procedures.
- Act as a liaison between different departments to ensure seamless communication and coordination.
- 3+ years of experience in an operational support or coordinator role, preferably within the technology or Financial Services industry sector.
- Strong organizational and multitasking skills, with the ability to prioritize tasks effectively.
- Proficiency in using resource management and reporting tools (e.g., MS Excel, project management software).
- Excellent communication and interpersonal skills.
- Detail-oriented with a proactive approach to problem-solving.
- Ability to work independently and as part of a team in a fast-paced environment.
- Experience with working in a start-up and/or professional services environment.
- Knowledge of resource planning and capacity management methodologies.
- Familiarity with onboarding processes and training coordination.
