    The New Business Intake (NBI) Specialist will be responsible for data input into the NBI System for the purposes of matter opening. In addition, they will submit requests for New Business through the NBI system in compliance with firm and client policies. This role requires an understanding of the NBI process, and other aspects of client information for data maintenance.

    Duties & Responsibilities:

    • Complete New Client New Matter, Existing Client New Matter and Maintenance Requests for all matters of assigned office(s):
    • Analyze legal documents and communications such as class action complaints, EEOC Charges, NLRB Charges, Demand Letters, and Employment Agreements-to extract information required for opening new matters. Specific focus on information including but not limited to additional parties, adverse counsel, professional service, area of law, sub-area of law, forum-venue and purpose of engagement
    • Understand the NBI workflow and utilize features of Intapp Open including filters and activities tab to determine next steps in the process to respond to inquiries related to request status
    • Find information relevant to new business and communicate with attorneys/support staff when additional information is needed.
    • Work with legal support staff to obtain draft engagement letter for new matters
    • Extract rates and billing information from provided documents and/or internal systems
    • Submit maintenance requests to update or close existing clients/matters
    • Research and respond to inquiries of attorneys, managers, paralegals and assistants
    • Assist as needed and directed in additional projects
    • Maintain Engagement Records for assigned office(s):
    • Update Engagement Records as a case evolves (i.e. - update if the case moves from an agency action to a litigation to an appeal)
    • Update case personnel changes (i.e. - case manager and additional working attorney changes)
    • Update client specific Engagement Records that generate monthly reports for specified clients
    • Close Engagement Records in a timely manner to timely record firm successes and to increase data integrity relating to the firm's active work
    • Read, interpret and synthesis collect data from various sources, consolidate and communicate date to conflicts team
    Education/ Qualifications:
    • Bachelors degree
    • 2-4 years of legal experience; Employment law experience preferred
    • Experience with Intapp Open, Microsoft suite
    Skills Required
    • 3-5 years experience within a law firm. Experience in the labor and employment field preferred.
    • Comfort extracting information from a variety of legal documents.
    • Experience with legal software including but not limited to intake software and document management systems. Experience with Intapp Open preferred.
    • Strong attention to detail, analytical abilities, and resourcefulness.
    • Ability to communicate effectively with attorneys, staff, and co-workers
    • Must have proven project execution skills and a strong client service attitude
    • Solid understanding of technical legal terminology as well as court and/or agency documents including but not limited to lawsuits, charges of discrimination, demand letters and NLRB charges.
    • Strong organizational skills.
    • Ability to multi-task, prioritize, and execute tasks.
    • Ability to work independently as well as part of a team.
    • Strong verbal and written communication skills.
    For California, Kansas, New York, South Carolina and Wisconsin, the expected wage range for this position is between $23.70 and $35.40. The actual compensation will be determined based on experience and other factors permitted by law.
