- Review, coordinate, and work closely with the ACC Committee for all ACC requests, to include review for complete applications prior to submission for review.
- Oversight of covenants enforcement and issuing violations.
- Homeowner, Board, and association data administration in CINC Systems.
- Management and oversight of all action items for associations.
- Act as main point of contact for all Board communications through all channels.
- Administration of on-site association amenities with the support of a dedicated administrative assistant.
- Retention and administration of all association records in SharePoint and WebAxis including, but not limited to, governing documents, rules & regulations, management agreements, service contracts and proposals, homeowner and board communications, vendor communications, etc.
- Address and resolve all homeowner escalations.
- Act as liaison between Board of Directors and all RowCal supporting divisions and third-party ancillary service providers.
- Update and maintain the management plan in CINC Systems as necessary with board meetings, site inspections, vendor meetings, maintenance calendar, WebAxis Calendar, community events, vendor service dates, etc.
- Drafting and execution of all official association communications including statutory notices, newsletters in coordination with the Board/committee, emergency notifications, email blasts, text blasts, etc.
- Approval of all invoices for payment in accordance with association budget and board direction
- Review and execution of action items
- Review and return of voicemails and emails
- Provide feedback to division Director on all RowCal supporting divisions
- Review and addressal of all action items, past-due or current
- On-site community inspections
- Review and process violations.
- Enter work orders for handyman level maintenance items noted.
- Reach out to responsible service providers for issues noted
- Preparation for, attendance at, and administration of all monthly in-person Board Meetings
- Preparation of Board Meeting Packets according to client established timeframes to include agenda, previous minutes, monthly financials, monthly management summary, and any other supporting documentation for old & new business
- Twice monthly Architectural Control Committee Meetings, held every other Tuesday evening via electronic meeting (Google Meets, Zoom, etc.)
- Review for knowledge and accuracy of prepared financial statements including balance sheet, income statement, delinquency report, and cash disbursements
- Monitor vendor and owner delinquency rates and collections process for the community
- Review of open violations for compliance and follow up within the violation policy guidelines
- Attendance at all internal management or company meetings
- Audit CINC, SharePoint and WebAxis to ensure all records are uploaded and properly organized.
- Audit Board members, maintenance items, service providers, management plan, and other information tab in management software to ensure accuracy
- Preparation and assistance to the Finance Committee for the annual operating and reserves budget for the community
- Preparation and drafting of annual calendar to include strategic planning for the upcoming year
- Preparation for, attendance at, and administration of all Annual Meetings or Membership meetings
- Coordinate tax returns and financial review/audit (as applicable)

Roles & Responsibilities
Job Description:
The RowCal Dedicated Community Association Manager is responsible for the overall management and oversight of a large-scale, master planned community association .
At RowCal, the Dedicated Community Association Manager is not tasked with all the coordination and execution of all services needed by the community but will act as a liaison between the association Board of Directors, RowCal's supporting divisions, and third-party ancillary service providers.
The Dedicated Community Association Manager may work remotely from time to time but must be in the office 3 days per work week.
The Dedicated Community Manager is to be knowledgeable on all association matters and will attend monthly board meetings held in person.
They will complete routine site inspections and have accompanying reporting with the inspection findings. The Dedicated Community Manager is also required to occasionally, and as requested, attend meetings with the ACC Committee. The Manager should be available to the Board of Directors and Committee members via phone, email, or in-person.
The Dedicated Community Association Manager is ultimately responsible for ensuring effective management for all association business as well as client (Board & homeowner) satisfaction.
In this role, the Dedicated Community Association Manager will report directly to the local market Director of Community Management. The local market Director must approve all vacation/PTO requests and expense reimbursements through our payment software.
Community Association Manager performance is reviewed based on the execution of RowCal processes, including but not limited to:
Roles & Responsibilities:
Community Managers are responsible for addressing various needs of associations on an ongoing basis or based on weekly, monthly, quarterly, or annual schedules.
