The Legal Secretary serves as the first point of contact for clients, attorneys, and visitors, providing administrative support and facilitating communication in English and Spanish. This entry-level position plays a crucial role in ensuring smooth operations within the law firm.

    Responsibilities of the Legal Receptionist (Bilingual)

    • Greet clients and visitors in a friendly and professional manner, both in person and over the phone, using English and Spanish
    • Manage incoming calls, route them to appropriate staff members, and take messages when necessary, ensuring prompt and courteous service
    • Schedule client appointments, consultations, and meetings for attorneys and legal staff, coordinating availability and managing calendars efficiently
    • Confirm appointments and follow up with clients to ensure timely attendance and rescheduling when needed
    • Assist clients with inquiries regarding appointments, case updates, and general information about the firm's services, assisting in both languages as needed
    • Direct clients to appropriate resources or staff members for further assistance, ensuring their needs are addressed promptly and professionally
    • Receive and distribute incoming mail, packages, and faxes, ensuring timely delivery to the appropriate recipients
    • Assist with basic document preparation, such as photocopying, scanning, and filing, to support attorneys and legal staff in their daily tasks
    • Provide interpretation and translation services
    • Maintain the cleanliness and organization of the reception area and common areas, ensuring a professional and welcoming environment for clients and visitors
    • Monitor and replenish office supplies, including stationery, refreshments, and promotional materials, to support daily operations

    Qualifications of the Legal Receptionist (Bilingual)

    • A Bachelor's degree from a four-year university preferred
    • Previous experience in a customer service or administrative role, preferably in a legal or professional services environment
    • Fluency in both written and spoken English and Spanish
    • Excellent communication skills and customer service orientation, with the ability to interact professionally with clients and colleagues
    • Basic knowledge of office procedures and equipment, including telephone systems, copiers, and fax machines
    • Strong organizational skills and attention to detail, with the ability to multitask and prioritize tasks effectively
    • Proficiency in using Microsoft Office Suite and other common software applications for data entry and basic document processing
    • Ability to maintain confidentiality and handle sensitive information with discretion
