With 25+ years in the industry and offices in Philadelphia, London, and Germany, we are continuing to expand and we're looking for a dynamic Office Coordinator to join our U.S. team.

    This is a high‑visibility, high‑impact role at the heart of our Philadelphia office. You'll support office operations, shape our internal culture, help onboard new employees, manage internal recruitment efforts, and provide essential day‑to‑day IT coordination.     What You'll Do

    Office & Workplace Operations


    • Ensure the office runs smoothly each day from supplies and equipment


    • Maintain a professional, welcoming, and efficient environment for staff and visitors


    • Coordinate meetings, travel arrangements, events, and general administrative support for the Regional Director and team


    • Drive employee engagement through culture‑building initiatives, team activities, and wellness events

    People Operations & Onboarding


    • Support Head of People and Culture with global projects.


    • Manage onboarding for all U.S. new hires, including training schedules, documentation, systems access, and first‑day experience


    • Partner with leaders to support ongoing training, development, and employee engagement activities


    • Help maintain HR documentation, internal communications, and people‑related processes

    Internal Recruitment (U.S. Focus)


    • Post job openings across career pages, job boards, and social platforms


    • Source and screen candidates for early‑career and professional roles


    • Build and maintain talent pipelines for ongoing hiring needs


    • Coordinate interviews across U.S. and global teams


    • Engage with universities and external recruitment partners

    IT Coordination


    • Serve as the first point of contact for IT troubleshooting and basic support needs


    • Coordinate with external IT partners to ensure smooth systems operations


    • Manage new‑hire equipment setup, software access, and account permissions

    About You


    • Bachelor's degree or equivalent experience


    • Previous administrative, people operations, or office support experience


    • Tech‑savvy with strong skills in Microsoft Office (Word, Excel, PowerPoint, Outlook)


    • Excellent communication, organization, and multitasking abilities


    • Comfortable in a fast‑paced, high‑growth environment


    • A proactive self‑starter with a positive, people‑first mindset
