    ROLE OVERVIEW - This is a temporary, non benefited, position anticipated to end in approximately 6 mos.

    Thiess is seeking a Project Administrator (site) to support our mining team on our Project site near Denver, Colorado. The project administrator will be a key role working with functional and site leadership to perform daily duties such as coordinating projects logistics, setting meetings, obtaining supplies, recording and production of formalized meeting minutes, working on special projects, material & supply orders, preparing documents and correspondence and maintaining schedules, as required. Required to handle confidential and non-routine information daily.

    PAY RANGE
    • $ $31.25/hour DOE
    PHYSICAL REQUIREMENTS
    • Able to work at high altitudes (12,000 ft. elevation) for days at a time
    • Prolonged periods of sitting or standing operating a computer
    • Must be able to lift up to 15 pounds at times.
    KEY ACCOUNTABILITIES
    • Identify administrative steps needed for successful project completion, modify processes to fit needs as necessary and coordinate those activities and associated communication
    • Coordinate and arrange meetings, prepare agendas, and reserve and prepare facilities
    • Act as point of contact for travel and hotels to liaise and manage with Travel Manager
    • Prepare presentations, reports, letters and routine correspondence
    • Responsible for answering telephones, arranging conference calls, and responding independently to routine business questions or taking and delivering messages as needed
    • Prepare and manage daily progress meeting and minute process
    • Manage office material supply orders
    • Organize and maintain file system and file correspondence and other records as needed
    • Oversee the maintenance and alteration of office areas and equipment, as well as layout, arrangement, and housekeeping of office facilities
    • Perform periodic document control functions
    • Demonstrate safety leadership at all times and comply with all applicable health, safety and environment rules, laws and statutory regulations.
    • Support the effective delivery of asset management services both onsite and offsite
    • Provide administration and functional support to the Maintenance team
    • Distribute and manage work order packs for execution of the daily maintenance plan
    • Manage and support the procure to pay process including processing invoices, APWF and JDE housekeeping
    • Understand Thiess Plant Costing Standards including plant operating (training provided)
    • Provide professional communication with suppliers, sub contractors and clients
    • Develop effective working relationships with internal and external stakeholders
    • Assist with the preparation of Capital Expenditure Requests and submissions
    • Ensure Asset Master Integrity
    • Maintain Asset Master by completing all relevant e-forms and liaising with Corporate Asset Admin team
    • Manage and reconcile internal and external maintenance labor including subcontracts and the allocation of costs.
    • Maintain and manage the warranty register
    • Manage pool vehicles including any external servicing and maintenance
    • Implementation and set up of scalable, efficient systems
    • Manage all maintenance services both onsite and offsite
    • Maintain the maintenance roster for employees and contractors
    • Review existing work and completed work for late invoices
    • Track fuel and lube consumptions digitally
    • Perform other duties as assigned
    REQUIREMENTS
    • Demonstrated high level of analytical ability and ability to problem solve.
    • Demonstrated ability to achieve results within a team environment with minimal supervision at times.
    • Good oral and written communication skills
    • Strong organizational skills with the ability to prioritize
    • High level of attention to detail and excellent follow-up skills
    • Solid understanding of business professionalism and the ability to work in a team environment
    • Strong clerical, administrative and general office skills including attention to detail and rigor
    • Excellent planning, leadership, organization, and communication skills
    • Ability to communicate and interact within all levels of the organization
    • Ability and willingness to work different schedule on site based on project needs
    ESSENTIAL EXPERIENCE AND JOB REQUIREMENTS
    • Mining or heavy industrial construction experience considered an asset
    • 3-5 years administrative work experience or related experience
    • Time and Attendance system experience preferred
    • Travel coordination experience
    • Technical expertise: Word, Excel, PowerPoint, Outlook
    • JDE or equivalent procurement system proficiency preferred
    • Speaks clearly and persuasively in positive or negative situations
    • Listens and seeks confirmation of understanding
    • Effectively responds well to questions
    • Writes clearly and informatively, edits work for spelling and grammar
    • Varies writing style to meet needs; presents numerical data effectively
    • Authorization to work lawfully in the USA without sponsorship from Thiess is required
    • Must be fluent in the English language
