    Job Description


    The Travel Services Manager supports the overall goals of a corporate travel program with a specific focus on travel category management, sourcing, and operational excellence.

    The Travel Services Manager is the site administrator and key contact who represents the company and partners with USACS travel management platform representatives.

    The role assumes lead responsibilities for select travel sub-categories which could include any combination of the following: airlines, hotels/lodging, rail, rental cars, private car service.

    Travel Services Manager also independently manages financial transactions and services including but not limited to corporate credit cards, direct billing, UATP programs and other misc travel analytics as requested.

    ESSENTIAL JOB FUNCTIONS:
    Work as an active business partner with external travel management system account manager
    Identify & implement value-add, cost savings opportunities
    Manages negotiated rate validation processes.
    Regularly monitor compliance and manage employees profile data

    Mitigate risk within corporate travel program including promoting duty of care resources and communicating to travelers about any pending changes, programs, or emergencies.

    Risk includes security of travelers due to weather, social disruption, etc and/or health and safety procedures to reduce impact to clinical schedules

    Monitor performance to control spend, identify source of savings and areas of improvements, communicating results to internal stakeholders and executives and implementing corrective actions to optimize the program.

    Works autonomously to analyze & reconcile travel financial management services for corporate credit cards, direct bills, and expense reporting data to effectively measure the travel program's performance as it relates to T&E policy compliance, market share goals and preferred vendor usage
    Create and communicate processes with cross-functional departments (i.e., finance, CEME) for UATP and BEA reallocations
    Draft and conduct Request for Proposals, vendor selection and negotiations with key travel suppliers (airlines, hotels, car rental agencies, etc.)
    Maintain strong relationships with vendors – airlines, hotels, travel agency, ground transportation, etc.
    Responsible for training process for clinical leadership, travel arrangers and travelers.

    Manage additional inquiries and feedback pertaining to travel program (Ex:
    T&E policy, travel profile inquiries, and vendor feedback/complaints)

    Coordinate business travel plans for USACS leadership, clinician providers, MSO & guests which may include air, hotel, ground transportation and rail.

    Ensure arrangements are sufficient to meet needs and budget.
    Ensure reservations are accurate and that itineraries, tickets and instructions are available to all travelers on a timely basis and include after hour contact information
    Coordinate and present tracking information for internal meetings such as rooming lists, travel costs, etc.
    Attend training meetings for travel industry procedures which may require travel to an offsite location.
    Stay well-informed with travel industry trends and best practices
    Provide support as needed to meetings & events manager.
    Perform various administrative functions and other duties when needed.


    KNOWLEDGE, SKILLS AND ABILITIES:
    Strong accuracy, organization, and problem-solving skills
    Must work effectively in a multi-task work environment and prioritize various activities and duties simultaneously
    Ability to maintain patience and composure in difficult situations

    Ability to effectively communicate orally and in writing with leadership, physicians, guests, and external business contacts and vendors in a courteous and professional manner.

    Ability to write business cases, implement initiatives and track subsequent results
    Follow company standards regarding procedures, utilization of tools, productivity accuracy of work and attendance


    EDUCATION AND EXPERIENCE:

    Education:
    Bachelor's degree in Business (or equivalent) from an accredited college/university OR 6-10 years of relevant work experience in travel procurement, travel consulting or travel industry
    Experience working with global travel agencies and different GDS programs
    Strong written and verbal communications skills, as well as interpersonal skills to effectively build relationships with internal and external stakeholders
    Experience with reviewing and negotiating travel lines of service contract terms
    Strong vendor relationship management experience, including supplier development, diversity, risk management and performance management
    Excellent organizational skills to multitask and prioritize projects
    Ability to work autonomously while keeping management apprised of projects and initiatives
    Experience in departmental budget management
    Strong Microsoft Excel, PowerPoint & Dropbox skills
    Excellent customer service skills required


    Salary Range:
    $44, $83,076.00


    Salary may be determined on several factors including but not limited to knowledge, skills, experience, education, geographical location and requirements stated in job description.
