- Timely collection and accurate tracking of daily attendance, notifying parents and dorm faculty of any unexcused student absences and related consequences
- Record maintenance and notification of relevant parties relating to minor student disciplinary incidents and the resulting consequences
- Providing database support that includes troubleshooting the school's DeansList system, design and distribution of forms, surveys, and queries in the school's student information system (Slate) and maintenance of data integrity
- Facilitating the residential weekend and vacation pass system in partnership with the director of resident life
- Editing and distribution of the weekly campus bulletin and coordination of external communications in collaboration with the student activities director
- Managing the dean of students' Google calendar and the Pebble Beach campus activities calendar
- Entering and disseminating school activity absence information, including athletics events, academic field trips, standardized testing, and student leadership commitments
- Diligent monitoring of various department email inboxes to address student, family, and faculty concerns in a timely manner
- Coordinating with the E&I and admissions teams to make travel arrangements for students receiving financial assistance
- Providing administrative support to the student life team for major school events including fall orientation and school community days
- Ordering department office supplies and monitoring and reporting of credit card usage
- Other duties as assigned
- Minimum of a Bachelor's Degree or associate's level degree and equivalent professional experience
- Three to five years of administrative assistant experience
- Strong attention to detail
- Computer Skills: Proficient in MS Word, Excel and PowerPoint
- Operational knowledge of web-related technologies, Google Suite applications and Gmail
- Database or student information systems experience a significant plus

Job DescriptionStevenson School is a PK-12 co-educational, college-preparatory, boarding and day school with enrollment of 770 students on two campuses in beautiful Central Coast California. The Upper Division campus (Grades 9-12) is located in Pebble Beach. The Lower/Middle Campus (Grades PK-8) is in nearby Carmel-by-the-Sea. Stevenson School is seeking an Administrative Assistant to the Dean of Students to start June 15, 2024. Reporting to the dean of students, the administrative assistant to the dean of students (AADS) is responsible for a range of administrative and logistical duties that ensure the swift, accurate, and consistent operation of the student life office. The AADS plays a critical role in ensuring student safety with timely tracking of student attendance and serves as a hub for community updates and reliable information. The AADS is the first point of contact for parents and students in a variety of circumstances, often engaging with families as they navigate difficult situations which may leave them feeling vulnerable. A high level of emotional maturity is a must in order to effectively operate in a dynamic work environment while maintaining confidentiality and meeting colleagues, students, and parents at all times with patience, empathy, respect, and kindness. Successful candidates will additionally possess related experience working with student information systems and/or databases, excellent organizational and time management skills, and the ability to work independently to meet deadlines.
This position is a 12-month per year, full-time position with significant summer project work to prepare for the coming school year. Work is performed primarily in-office, based on Stevenson's Pebble Beach campus. There is the possibility of a reduced and/or flexible work schedule during the month of July.

The anticipated hourly wage range for this position is $25 - $32 per hour, based on experience.
In addition to competitive salary, Stevenson provides an excellent, comprehensive benefits package, including a menu of health insurance plans offered through Anthem, dental, vision, life, long-term disability, and FSA options. The School also currently provides a monthly housing stipend to eligible employees and monthly fuel stipend for all non-housed employees. Lunch is provided at no cost to employees on a daily basis when school is in session.
