    Phoenix School of Roseburg nonprofit corporation is seeking an outstanding candidate to serve as our agency's Registrar.

    Under the direction of the Executive Director and Principal, the person in this position will work to establish true, accurate, and permanent records for each student who attends Phoenix Charter High School.


    Opening:
    Full-time, salaried position. Annual contract July 1 through June contract days per year contract will be prorated based on start date).

    Application Period:

    Assignment: 40 hours per week, scheduled between the hours of 7:00am and 4:00pm, Monday through Friday

    Salary:
    $ $29.19 per hour, depending upon experience.
    ($35,311.60 to $50,189.60 annual salary based on 215-day contact)

    Required Minimum Qualifications:
    Associate's degree or equivalent from a two-year college or technical school.
    The desire to work in a school setting with adolescent students.
    Regular and reliable attendance.
    Must successfully pass a criminal history background check and fingerprint screening.
    U.S. citizen, national or lawful permanent resident.
    The ability to pass a drug screening test.

    Professional Competencies:
    Three years of clerical experience that includes data entry and record keeping responsibilities.

    Experience interpreting complex rules, procedures, and/or requirements.

    Requires a working knowledge of computer usage and the ability to create, update, and maintain accurate word processing, database, and spreadsheet files.

    Ability to work independently and prioritize tasks to meet deadlines while maintaining a high degree of accuracy and attention to detail with frequent interruptions.

    Ability to work effectively with others from diverse backgrounds, commit to practicing cultural competency, and demonstrate respect for diversity.
    Ability to compile information, maintain extensive transcript records, prepare reports, analyze transcripts carefully, and adopt effective courses of action.
    Ability to maintain confidentiality in performing assigned tasks.


    Preferred Qualifications:
    Experience using the Synergy Education Platform database and familiarity with school district procedures desired, but not required.
    Experience working with creating, updating, maintaining, and retaining student records desired.

    Ability to organize and maintain information systems used to input and report complex student data, and the ability to deliver upon requests with short-term (often same day) deadlines.

    Prior successful experience working in a school setting or with adolescent children strongly preferred.
    Ability to develop positive working relationships with students and staff and the ability to model professionalism for students.


    Duties & Responsibilities:
    Maintains a complete understanding and working knowledge of state and local education requirements for student graduation.

    Maintains the official transcript for each student enrolled, including: transcribing, building, and maintaining transcripts with a high degree of accuracy.

    Enrolls new students and withdraws departing students in the school, keeping track of all changes to student enrollment status in both our electronic database and student permanent file.

    Coordinates student record processes to ensure timeliness, accuracy, and quality control of all information.
    Monitors student attendance and provides timely notification of student absences to parents and/or guardians via phone and postal mail.
    Generates, checks for accuracy, and prints progress reports and report cards for all enrolled students.
    Maintains student course schedules throughout the year, providing timely service to better serve our students and teaching staff.
    Uses self-initiative to see out, correct, and/or alert supervisor of problems affecting student educational requirements.
    Compiles and prepares reports for administration as required, including year-end reports for the school district and state.
    Tracks and compiles student immunization data to comply with state requirements.

    Provides information upon request to parents/guardians pertaining to their student's academic standing in accordance with district policy and state law.

    Assembles, verifies, authenticates, and forwards student records, upon request, to other schools upon student transfer. Provides education verification services to inquiring colleges and employers.

    Interacts thoughtfully and courteously with students, staff, and parents/guardians, serving as a resource to all parties and works quickly to resolve conflict in a professional manner.


    Marginal Duties and Responsibilities:

    • Assists staff as necessary including answering telephones, routing telephone calls or messages to appropriate staff and operating general office machinery. Assists the front office staff as needed and manages special projects and school events as assigned by supervisor.
    Attends staff meetings and/or in-service trainings as needed.
    Fulfills other related duties as assigned by supervisor.

    Ability to make frequent trips from desk to counter, files, and other locations in the office and building.
    Ability to lift boxes of varying weights and move packages from desk to floor and from floor to desk.

    Regularly required in an 8-hour day, to sit for 5-8 hours and to stand, walk, or move around for 1-4 hours.

    Regularly required to talk and hear.
    Ability to hear the telephone ring and to hear and respond to inquiries from visitors and callers.
    Regularly required to use hands to finger, handle or feel objects, tools or controls.
    Regularly lift, move or carry up to 25 pounds; occasionally lift, move or carry up to 50 pounds.

    Frequently required to stand or walk (occasionally on an uneven surface), reach with the hands and arms, stoop, and/or bend.
