General Statement of Duties:
The Client Administrator I within the wealth management team, is responsible for comprehensive administrative support for one or more Financial Advisors.
Responsible for generating administrative products that are accurate, complete, properly formatted, fulfill the intended purpose, and present a positive image to all clients and outside parties.
Job Description:
Completes a wide range of word processing and spreadsheet tasks, including correspondence, reports, tables, and agreements that require a high level of proficiency and knowledge of generally accepted formatting principles.
Drafts written communication for Financial Advisors.
Corrects, edits, and provides punctuation as necessary to ensure that the final copy conveys the intended meaning and is correct in detail.
Understands basic facets of investments:
this includes income and dividends, bond maturities, trade settlement, corporate actions and cash management. Understands client statements and basic resolution of day to day operational items.
Frequent contact with clients, employees, auditors, client advisors such as CPA's and attorneys, visitors, and vendors, maintaining positive relationships. Exercises tact, confidentiality, judgment, initiative, and knowledge of functional areas to respond appropriately.
Assists with basic Estate & Trust Settlement issues as necessary. Includes preparing the Estate Val and sending the workflow ticket to Rock-it.
Completes the Irrevocable Trust IPS with the assistance of the Financial Advisor-need Basic understanding of Irrevocable Trusts.
Assists the Financial Advisor by starting the Trust Information spreadsheet on the T-drive.
Schedules client appointments and prepare client meeting notice.
Supports Financial Advisor in pre-client meeting preparation and post-client meeting processing.
Prepare for and may attend client meetings, take, assemble and transcribe notes relative to action items, and decisions made during appointments.
Monitor and follow up with all action items from client conversations and meetings.Responds to client inquiries and assist with client requests to provide the highest level of client service. Assists with workshops, seminars and client educational events.
Generally, assists Financial Advisors with day-to-day activities, assists in reviewing of tax information during tax season.
Establishes, maintains and revises filing and record keeping system for multiple functions. Collect and prepare data as needed for various reporting and/or auditing requirements.
Receives, opens, and sorts incoming mail. May screen routine inquiries and prepare responses of a factual nature. Assists with answering phones and any coverage situations when needed.
Performs additional duties as requested.
Qualifications:
High School diploma or GED is required.
2+ years' administrative support experience required.
Experience working in financial services, trusts, retirement plans, or paralegal experience preferred.
Intermediate level of Microsoft Office. Ability to learn software quickly.
Problem solving skills
Client Service skills
Ability to use keyboard, calculator and other general office equipment.
Ability to lift 30 pounds.
Ability to sit for long periods of time at a computer terminal.
Word processing, document preparation from draft to final review.
Excellent attention to detail.
Excellent written and oral communications.
Ability to handle sensitive documents and other confidential communications.
