Job description

This is an excellent opportunity for someone who thrives in fast-paced environments and is ready to contribute their organizational and problem-solving skills.

Responsibilities:

Coordinate schedules and job assignments to ensure timely and efficient operations.
Utilize QuickBooks for invoicing, payment tracking, and maintaining financial records.
Prepare and manage documentation using Microsoft Office Suite, particularly Excel.
Handle incoming calls professionally, addressing inquiries and directing messages to appropriate personnel.
Maintain accurate and organized records of schedules, client requests, and operational activities.
Act as a liaison between clients, internal teams, and field crews to facilitate smooth communication.
Work closely with field personnel to resolve scheduling conflicts and confirm availability.
Provide timely updates on schedule changes to all stakeholders and prioritize client satisfaction.
Previous experience in dispatching, scheduling, or a related administrative role; experience in the construction industry is advantageous.
Proficiency in QuickBooks and Microsoft Office Suite, including Excel, Word, and Outlook.
Exceptional organizational skills and the ability to manage multiple tasks effectively.
Strong problem-solving abilities and the capacity to work well under pressure.
Familiarity with scheduling software is preferred.
Excellent verbal and written communication skills.
Ability to collaborate effectively with team members and external partners.
