- Manage core administrative functions for the Advancement office including supporting the Advancement staff with any operational and logistical needs.
- Serve as the first point of contact for the advancement and the events email inboxes and voice mail, managing inquiries, responding to routine questions, and routing matters to appropriate team members as necessary.
- Under the guidance of the Executive Director of Infrastructure & Analytics, perform data entry for gifts, pledges, and donor and alumni interactions and updates into the departmental CRM, Raiser's Edge, ensuring accuracy, timeliness, and data integrity.
- Produce and mail weekly acknowledgments for non-online gifts.
- Prepare and deliver bi-weekly deposits to Student Accounts for all Advancement gifts.
- Respond to initial inquiries.
- Process venue rental invoices, track receivables, and work with the Drew finance team on all payment processing including credit card and ACH payments.
- Prepare and deliver client payment deposits to Student Accounts.
- Conduct occasional campus client tours.
- Serve as additional on-campus site manager for client events, not including summer camps and conferences.
- Help coordinate logistics for internal advancement events, president's office events, zoom events, and stewardship initiatives.
- Manage event registrations, attendee tracking, event attendance, and engagement data into Raiser's Edge for reporting and stewardship purposes.
- Liaise with campus partners for space setup, technology, catering, and other event services.
- This role includes direct supervision of student worker.
- Perform other duties as assigned.
- Bachelor's degree, or the equivalent experience in fundraising, event management, communications, or a related field.
- Two years or more of experience in event coordination, venue management, and/or advancement operations.
- Strong organizational and project management skills with ability to handle multiple priorities.
- Excellent communication and interpersonal abilities.
- Proficiency in Microsoft Office and/or Google suite.
- Strong interpersonal and intrapersonal skills. Must be an active listener and open-minded collaborator.
- Experience working in Raiser's Edge and/or other CRMs is a plus.
- This position can be hybrid but will require being on campus as needed - usually three or four days a week - and occasionally working nights and weekends for internal events, event rentals, and/or meetings - both on and off campus.
