    Title: Receptionist/Front Office Coordinator

    Supervisor(s): Practice Manager

    Department: Administration

    Effective Date: September 12, 2012

    Job Summary

    The Receptionist/Front Office Coordinator is responsible for the coordination of administrative duties involved with a patient's visit to the office.

    Duties and Responsibilities

    1. Ensure the patient entry is unlocked each morning.
    2. Performs daily backup of computer system.
    3. Prepares daily schedules for provider and nursing staff.
    4. Pull daily patient charts, if applicable.
    5. Answer phone and take care of caller's needs or route calls appropriately.
    6. Make patient appointments, both within the clinic and for referrals.
    7. Prepare mail, including maintain meter and ordering postage.
    8. Maintain printer and copier supplies and change cartridges as needed.
    9. Monitor office supplies and maintenance needs and make request for purchase to Supervisor when needs are present.
    10. Register each patient and ensure a proper "check-in" process, including verification of personal and insurance information at each visit and that proper copays are collected and posted to account.
    11. Perform "check-out" process to ensure physician's follow-up orders are carried out.
    12. Perform the daily batch update.
    13. Manage daily receivables.
    14. Inform patients of delays.
    15. Appropriately handles patient complaints.
    16. Assist the medical provider as needed, including phone calls.
    17. Shut down machines and lock patient entry the end of the workday.
    18. Other duties as assigned.

    • Ability to work effectively with providers, staff and third-party payors
    • Ability to work independently, establish priorities, and coordinate work activities
    • Ability to work under pressure
    • Ability to use good judgment to accomplish goals

    Credentials and Experience

    Required

    • High School Diploma or GED

    Credentials and Experience

    Preferred

    • Experience in an outpatient clinical setting
    • Associates in Medical Office Administration
    • Dentrix Dental Software (for dental)

    Special Requirements

    Requires sitting, standing and walking for extensive periods of time. Requires working under stressful conditions or working irregular hours. Requires frequent exposure to communicable diseases, body fluids, toxic substances, medicinal preparations and other conditions common to a clinic environment. The employee frequently is required to reach with hands and arms. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus. Ability to work with a moderate noise level in the work environment is required.
