    Position Details


    Under the general supervision of an Elementary School Principal, acts as secretary leading clerical workers in performing the office functions of: reception, record-keeping, scheduling, supplying, machine operation and mail distribution; interprets and translates in Spanish.


    Essential Functions - Typical Duties


    Meet, greet visitors, callers, pupils in person and on telephone; ascertain needs; provide material/data/service or refer/take messages; place calls to secure material/data/service/information; receive, sort, route mail; maintain order in school office.

    Greet, assign, equip and orient substitute teachers.


    Administer minor first aid to injured,ill pupils, employees; call parents for pick-up when pupil is ill, injured, excluded or abandoned; provide support and attention to pupils.

    Keep order in school office; place phone calls to request/relay important information.


    Compile, collect and record data on appropriate forms/reports for; enrollment, time, attendance, accident reports, transfers, lunches and student body funds.

    Design and maintain basic alphabetical/subject files; file and retrieve documents; retire files on schedule.

    Receive cash, checks, make change, issue receipts, lunch cards, account for funds and turn in daily.

    Review teachers registers for pupil absences over three days, refer to Child Welfare Attendance, and Teachers.

    Prepare/compose letters, memos, activity programs, reports, bulletins, schedules, weekly and monthly calendars, surveys and teacher evaluations by operating word processors including personal computer and typewriter and copier equipment including duplicators, laminator, stencil maker; operate calculator, school bell systems and intercom; proofread for grammar, spelling, punctuation, completeness and accuracy.


    Keep appointment calendar for Principal and Psychologist; make appointments with parents, pupils and staff; schedule use of school facilities by Community Organizations.

    Operate suspense file to ensure all deadlines are met.


    Estimate stock levels of office and classroom supplies; order supplies to maintain stock levels, calculate extension of prices; fill orders for classroom supplies; check incoming supplies to determine shortage.

    Prepare/compose letters, memos, activity programs, reports, bulletins, surveys (in Spanish and English).

    Collate and assemble materials.

    Interpret in Spanish for parents, students, teachers, staff and translate notices to parents, staff and teachers.

    Mail, receive, sort, open, route incoming U.S., U.P.S. and district mail; collect, label, dispatch outgoing mail.

    Assign, direct, control flow of work to clerical employees; train and assist evaluation of clerical employees.

    Perform related duties as assigned.


    Minimum Qualifications - Education and Experience

    Equivalent to graduation from high school and two years of experience at the level of Clerk Typist II.


    LICENSES AND OTHER REQUIREMENTS:

    Must obtain a First Aide certificate prior to completion of the probationary period.

    The District's ROP Office Occupation or Adult School Keyboarding Certificate will be accepted in lieu of District typing test providing the ability to keyboard at 40 words net per minute from a clear copy is demonstrated and certified by the Program Administrator.

    The incumbents program certification date must be within 12 months of application submission.
