SUMMARY:
Provides secretarial support to the principal.
ESSENTIAL DUTIES AND RESPONSIBILITIES Other duties may be assigned.
Maintain strict confidentiality in dealing with all records and school business.
Responsible for phone inquiries, taking messages, routing building calls.
Assist Students with needs such as phone calls, band-aids, snacks and school supplies.
Maintain events in school and facility calendars.
Operates and maintains standard office equipment.
Opens and distributes building mail.
Assist with visitors by utilizing the Visitor Notification System in accordance with the Board of Education policy.
Building liaison to staff, students and public including production of monthly newsletter, honor roll and truancy letters, electronic sign content, school website updates and electronic mail blasts as needed.
Prepares, types, copies, distributes, file records/reports, correspondence, mailings etc. related to building function.
Maintains and updates building filing systems.
Develop and maintain an updated job specific handbook.
Assist in enrollment/registration process.
Assist with the input of purchase orders, process invoices for payment and monitor building accounts.
Maintain and update student daily attendance files.
Assist and orientates substitute teachers and building substitutes.
Assist with collecting and disbursing monies received through the building including petty cash, armored car deposits and PCard activities.
Maintain supplies and student records for the health room.
Organize and stock office space and supplies
Assist with the collection and submission of attendance/payroll for the building staff.
Assist in building events.
Input/maintain student information utilizing district and vendor software applications.
Assist in the registration of students new to the district enrolling in the building.
Data entry new student information.
Assist in coordinating with transportation department transportation for newly enrolled students.
Request student records for newly enrolled students.
QUALIFICATION REQUIREMENTS:
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. EDUCATION and/or EXPERIENCE:
High school diploma or general education degree (GED) and one-year school secretary related experience.
LANGUAGE SKILLS:
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before parents, staff and students.
MATHEMATICAL SKILLS:
Ability to add, subtracts, multiply and divide in all units of measure, using whole numbers, common fractions, and decimals.
REASONING ABILITY:
Ability to apply commonsense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.
OTHER SKILL and ABILITIES:
Ability to pass a typing test at 55 words per minute. Demonstrated ability to operate a personal computer including but not limited to district management, word processing and spreadsheet software. Ability to develop effective working relationships with students, staff and the school community. Ability to communicate clearly and concisely, both orally and in writing. Ability to perform duties with awareness of all district requirements and Board of Education policies.
