    Summary:


    The Human Resources team of Rice University is seeking an Administrative Operations Specialist to be an integral part of the day-to-day operations of the People, Equity, and Development team.

    In this position, you'll provide crucial support as an Administrative Specialist. Your role entails assisting with budget management, HRIS tasks, and special projects, offering valuable assistance and alternative solutions. You'll support recognition programs, event coordination, vendor relations, and contribute to marketing materials.

    Your responsibilities also include managing terminated employee data, representation in Texas Workforce Commission hearings, and providing administrative support to the group.

    The ideal candidate would have had some HR experience, and supported the events coordination, managing vendor relationships, and assisting with communication efforts.

    Additionally, fluency in Spanish is strongly desired.

    This position is a hybrid role, combining in-office and remote work to provide flexibility and support collaboration. The hybrid schedule will be defined within the first six months of service. Per Rice policy 440, work arrangements may be subject to change.

    Annual Hiring Salary:
    $56,000 minimum, with hiring salary commensurate with experience and qualifications


    • Exempt (salaried) positions under FLSA are not eligible for overtime.

    Minimum Requirements:

    • Bachelor's degree
    • In lieu of the education requirement, additional related experience, above and beyond what is required, on an equivalent year for year basis may be substituted
    • 2 years of related experience

    • Skills
    • Ability to establish and manage priorities and handle numerous time-sensitive projects with conflicting and varied deadlines
    • Ability to accomplish goals working through formal and informal channels, with diplomacy and tact
    • Demonstrated creativity, problem-solving, critical analysis, initiative, judgment, and decision-making skills
    • Demonstrated ability to develop budgets and assist units in establishing and meeting their budget goals
    • Excellent planning and organizational skills
    • Excellent interpersonal, verbal, and written communication skills
    • Strong knowledge of relevant subject matter

    Preferences:

    • Speaking Spanish fluently
    • Experience with websites
    • Experience with building cross-functional relationships within the organization
    • Experience with compliance

    Essential Functions:

    • Manages unit budgets and human resources actions in the HRIS system
    • Organizes, manages, and completes special projects
    • Identifies issues and develops alternative solutions which may include changes to procedures
    • Reviews and analyzes trends to advise and develop recommendations to achieve or modify the goals of the department, program or function
    • Develop and implement outreach strategies that may include relationship development, communications and compliance
    • Develops and manages the communication and brand strategy for individual program(s) incorporating appropriate channels
    • Recommends, manages, and executes Employee Recognition programs and the administration connected to all awards
    • Responsible for event planning and execution
    • Manages vendors on specific projects
    • Manages program budget, goals, and objectives in alignment with organizational goals
    • Manages all TWC information for terminated employees and the payments awarded; represents Rice in the TWC hearings and/or appeals
    • Website and communications management (PED team, HR Department e-Newsletter, etc.)
    • RCC liaison
    • Walk-in intakes, as needed (Entry level intake for ER and AEEO, as needed)
    • Administrative support to all PED team
    • Writes, designs, and coordinates the production of communication and marketing materials
    • Performs all other duties as assigned
    Additional Functions


    • Some event planning will be expected
    • Main administrative support for the People, Equity, and Development team
