Position Overview

The Part-Time Operations Coordinator supports the Crestmoor Community Association by assisting with Board functions, community events, membership communications, and year-round administrative functions. A key responsibility of this role is maintaining all Board-related documents and records within Google Workspace to ensure organization, accessibility, and continuity. This position does not include staff supervision, pool management, facility operations, or maintenance responsibilities.

About The Crestmoor Community Association (CCA): CCA is a Tennis and Swim Clublocated across from Crestmoor Park near Alameda and Monaco. The pool is open from Memorial Day weekend to the weekend after Labor Day. The tennis courts are used year-round as weather permits. There is a very active kids program with swimming, diving and synchro competitions throughout the summer. In addition, adults and kids participate in tennis lessons/drills and league competitions from March through October. The club is very family friendly and social with Family/Club Nights every Wednesday and Sunday during the summer.

Key Responsibilities

Board Support & Administrative Assistance

  • Assist in preparing agendas, minutes, annual meeting materials, reports, and reference documents for Board meetings.
  • Maintain and organize all Board-related documents, archives, and working files using Google Workspace (Drive, Docs, Sheets, Shared Drives, etc.).
  • Ensure documents are properly labeled, stored, shared, and backed up for long-term continuity.
  • Support coordination of Board initiatives, elections, and committee-related activities.
  • Provide general administrative assistance such as formatting documents, maintaining calendars, and managing information flow between Board members.

Social Event & Party Support

  • Assist the Board in planning, organizing, and coordinating member events, social gatherings, and seasonal activities.
  • Work with the General Manager on event logistics, including scheduling, vendor coordination, event materials, and basic setup assistance.
  • Communicate event details to members through Board-approved channels such as email, newsletters, and announcements.
  • Track event sign-ups and attendance, and support the Board in collecting post-event feedback.

Financial coordination

· Work closely with the Board Treasurer(s) and the Club Bookkeeper to track, review and maintain financial records, support budgeting and communicate relevant financial information clearly and accurately to Crestmoor members.

Newsletter & Member Communications

  • Assist the Board in drafting, editing, and distributing the community newsletter.
  • Prepare official Board communications, updates, reminders, and notices for members, ensuring clarity and consistency.
  • Maintain communication tools such as email lists, bulletin boards, and online postings as directed by the Board.
  • Respond to basic member inquiries related to events or communications, redirecting other questions to the appropriate Board contact.
  • Assist the Board Membership Chair with new member inquiries, maintain the list of prospective members, along with the list of current and senior members.

Qualifications

Required:

  • Strong organizational skills and high attention to detail.
  • Competence with Google Workspace (Drive, Docs, Sheets, Forms, Shared Drives).
  • Strong written and verbal communication abilities.
  • Ability to work independently in a part-time role with shifting seasonal needs.
  • Experience managing files, documents, or records in a structured, organized system.

Preferred:

  • Experience supporting a Board, committee, or community organization.
  • Background in event coordination, writing, or newsletter creation.
  • Familiarity with communication tools such as Mailchimp, Canva, or similar platforms.

Expectations and Working Conditions

  • Position reports to the Executive Committee of the Board. Expected hours will average 16 hours/week. The salary range is $25,000 to $30,000/year.

· Provide a cover letter, current resume, and, if possible, a letter of recommendation.

· Flexible hours throughout the year, adjusted around Board needs and event schedules. Summertime will be more demanding with the rest of the year more flexible.

  • Most administrative work can be completed remotely. Board meetings will be in person and occur eight times throughout the year during the evening. The summer may require more time spent onsite at the club.
  • Occasional light physical activity will be required during event setup and clean up.

Job Type: Part-time

Pay: $ $31.35 per hour

Expected hours: 16 per week
