- Work in "Studio Designer" (Interior Design Software) to create client proposals, purchase orders and invoices
- Develop and manage project budgets
- Obtain vendor custom quote requests for client proposal development
- Facilitate vendor purchase orders, payments and cross check order acknowledgements
- Proactively track and manage shipping and delivery timelines
- Receiving management and quality assurance
- Warehouse point of contact regarding receiving, deliveries, installation and storage fees
- Communicate with vendors, general contractors and sub-contractors throughout project
- Work with bookkeeper to reconcile project accounts
- Responsible for organization of project files and physical and digital archiving
- Support design team as needed with presentations, meeting preparations, etc.
- Help to manage and mentor internship program
- Oversee all day-to-day office operations
- Facilities management
- IT management and main point of contact for 3rd party IT service
- Procedure documentation
- Calendaring and scheduling support
- Office payments and expense documentation
- Office, project and personal errands as needed
- Legal authorization to work in the United States
- Reliably commute to the office and have a reliable means of transportation for errands
- 4+ years working in a similar role within the interior design industry
- Proficient in Studio Designer and Microsoft Office
- Preferred knowledge of AutoCad, and Creative software (Photoshop, Illustrator, etc.)
- MAC and PC proficient
- Ability to read architectural drawings
- Critical thinking and problem-solving skills
- Ability to work efficiently, accurately and independently
- Excellent time management skills
- Ability to shift between responsibilities on multiple projects at a time
- Ability to handle fast paced environment under tight deadlines
- Candidates should work well in a team structure
