    SUMMARY


    The primary purpose of the Grant Program Coordinator position is to provide budgetary, administrative and organizational support to the Department of Interventional Radiology during the pre- and post-award grants, contracts and agreements process.

    The incumbent will work with the faculty and trainees to coordinate large grant initiatives for the department, multi-project, external and internal grants.

    JOB SPECIFIC COMPETENCIES

    Grant Coordination:
    Pre Award


    Participate in the preparation, submission, review, approval, contract negotiation, activation, regulation, tracking and report of and submission of grant applications and annual reports, according to departmental, institutional and external requirements, in both internal Click and RCTS submission systems, as well as external submission systems.

    Assists the Department faculty and trainees with budgeting for grant proposals, contractual agreements, re-budgeting from other institutions and/or existing grants and contracts.

    Establishes timely submission parameters to ensure prompt submission of necessary materials from collaborators. Requests updates on appropriate and relevant material for submission. Proofreads, copies and edits, if necessary, materials being prepared for submission. Responsible for the preparation of grant forms. Oversees preparation of biographical sketches and other support documents for key personnel. Monitors them for accuracy of format and financial support. Runs routine reports from Click for all faculty to ensure collaboration inclusion for grant tracking and documents. Liaison between assigned faculty, collaborators, Prog Dir, Diagnostic Imaging. Follows up on post award sponsored project issues as designated. Maintains familiarity with NIH, DOD, NSF and other federal agencies' forms and requirements. Supports administrative planning for grant initiatives, including complex multi-project grants and cores.


    Grant Coordination:
    Post Award


    Reviews expenses against grants for accuracy, resolve errors and ensure adherence with institution, state, local and federal regulations as needed, with oversight from the Administrative Director, Protocol Research and Financial Analyst.


    Works with the Prog Dir, Diagnostic Imaging and the Financial Analyst to ensure that grant funds are being expensed accurately and according to institutional and/or agency regulations.

    The Grant Program Coordinator will prepare and submit invoices for the departmental recharge, and program income accounts managed in Interventional Radiology, partnering with the Financial Analyst to complete reconciliations.

    They will render invoices for external entities, and manage allocation of those payments.

    Departmental Support

    Actively perform searches in funding databases for appropriate and relevant requests for proposals and share with faculty and trainees.

    Maintains other support for IR faculty and up-to-date resources to assist in grant submissions and progress reports.

    Serve as a resource to IR administrative team for completing Biosketches for various sponsors and compliance with sponsor formatting guidelines .

    For Other Support documents, a focus on Foreign Collaborations, and institutional reporting as needed.

    Acts as a liaison and departmental representative for large multi-disciplinary projects.

    Represents the department at professional meetings such as Grants Administration meetings as well as other research-related meetings within the institution and externally.

    Assists in maintaining tracking for departmental research programs to manage research information activities for the Department of Interventional Radiology.

    Maintains copies of grants and confirms that all copies of assigned grants are logged correctly in the departmental grants files.

    Required education:
    Bachelor's degree.


    Required experience:
    Three years of extensive administrative experience. May substitute required education degree with additional years of equivalent experience on a one to one year basis. With preferred degree, one year of experience required.
