HR Specialist
The HR Specialist is responsible for direct oversight of all staff files for the various Ohana businesses with primary focus on Ohana Family Homes and Ohana Developmental Homes employees.
This position will report directly to Ohana's Chief Business Officer and will be part of Ohana's HR team and work directly with the various HR team members to ensure all staff files are in compliance with state and federal regulations.
In addition, this person will work in partnership with Ohana's Compliance department to ensure all ongoing and annual staff training documents are properly filed to be compliant with Ohana's state contracts and licenses with DDD and DCS.
This person will also be responsible for tracking all staff training hours during the course of each license and contractual year and communicate directly with staff to assist in signing them up for all relevant training within and outside of Ohana.
This person will also communicate directly with Ohana's Special Needs and Foster Care program and house management to notify them of any staff not in compliance and needed to be pulled from schedules.
Training platforms that this individual will need to coordinate with included Relias, Omnean, and internal Ohana trainers.This person will provide assistance with research and analysis of potential new training vendors to help reduce costs as increase efficiency of timeliness of completed training.
In addition to training, this person will ensure all staff have the proper background clearances in place to work with vulnerable youth and adults as well as proper documentation within all state websites and providing regular reporting on the status of employees background clearances.
Primary Responsibilities:
Reviews, tracks, and documents compliance with mandatory and non-mandatory training, and continuing education. This may include safety training, anti-harassment training, professional licensure, and certifications.
Maintains compliance with federal, state, and local employment laws and regulations, and recommended best practices; reviews policies and practices to maintain compliance.
Auditing staff files at 90 days of employment and annual date of employment to ensure all state license and contract obligations are met, which include employees annual reviews.
Responsible for Status change of employees within ADP (HR management system) and their appropriate access.
Provide employees with assistance with questions on their tax and direct deposit information with their personal ADP system.
Monthly agency roster for continuous background check compliance.
Adding employees to state Quick Connect and FOCUS, which includes fingerprint clearance cards.
Minimum Qualifications
Bachelor's degree preferred and/or minimum 2 years of experience in human resource management
Excellent written and verbal communication skills
Excellent organizational skills and attention to detail
Ability to demonstrate efficient time management with a proven ability to meet deadlines
Utilize teamwork and make decisions confidently
Ability to act with integrity, professionalism, and confidentiality
Possess a valid Arizona drivers' license
Be able to obtain a valid Level 1 Fingerprint Clearance Card through the Department of Public Safety
Must be able to work in a culturally diverse environment
Must be in alignment with Ohana's Core Values, Mission, and Vision
