    GENERAL DESCRIPTION

    Responsible for all activities required to maintain the inventory of a $20M power generation warehouse. This position also serves as the direct administrative assistant to the Plant Manager. Requires excellent organizational skills to coordinate a variety of warehouse and office functions independently or under indirect supervision. Reports to and is under the direct supervision of the Plant Manager.

    ESSENTIAL JOB FUNCTIONS

    (NOTE: There are also secondary functions, which the employee will be required to perform.)

    Purchases, receives, disburses, and reorders while maintaining minimum and maximum stock levels utilizing an integrated work order, inventory, and purchasing information system. Conducts follow-ups and expedites the delivery of purchases as required.

    Performs periodic physical inventory of all warehouses materials and maintains office supplies for the Power Plant.

    Prepares and/or verifies payroll accuracy in three (3) information systems.

    Coordinates the report function for the Power Plant. Tracks, compiles, types, and maintains file system on all reports. Creates and prepares various office forms, reports, and files as needed. Maintains various records and procedure manuals.

    Assists in the preparation of specifications for contract work that includes extensive word processing. Follows through with procedures necessary to complete the bid award.

    Prepares necessary forms related to hiring of personnel. Coordinates and schedules employee training based on plant workload.

    Makes travel arrangements and prepares the appropriate travel form as required.

    Prepares the personnel budget and assists in the coordination of the O&M and Capital budgets as required.

    ESSENTIAL MINIMUM EDUCATION AND EXPERIENCE

    Graduation from an accredited high school or possession of an acceptable equivalency diploma, supplemented by courses in typing and business practices, including word processing and computerized spread sheets. Five (5) years of progressively responsible secretarial/clerical work. Pass basic Microsoft Word test with a score of at least 80% and basic Microsoft Excel test with a score of at least 70%. Ability to type 40 words per minute.

    When considering new job applicants, a comparable amount of training and experience may be substituted for the minimum qualifications.

    ESSENTIAL KNOWLEDGE, ABILITIES AND SKILLS

    Ability to incorporate and employ on a continuous basis: initiate change, creativity, collaboration, pride and accountability.

    Considerable knowledge of inventory control methods, purchasing principles and practices of rules and regulations governing municipal procurement activities, safety precautions, and procedures used in receipt, storage, handling and control of merchandise.

    Thorough ability to interpret rules, regulations and policies, and make decisions based on established policies and procedures.

    Ability to understand and follow, quickly and accurately, brief oral and written instructions on moderately complex matters.

    General ability to maintain effective working relationships with employees as well as internal and external customers.

    NECESSARY SPECIAL REQUIREMENTS

    May require announced or unannounced overtime work and the ability to respond to call-out work during non-working hours or emergencies. Certification in Forklift operation.
