    Description

    The Colorado Springs Marathon Volunteer Coordinator will be responsible for recruiting, confirming, and managing all volunteers who support the Colorado Springs Marathon on September 28, 2024. The person filling this role must work approximately 5-10 hours per week through September 20, hours or more are required during race week to support packet pick-up on Friday (9/27) and manage all race day volunteers on Saturday (9/28). An additional 5-10 hours will be necessary following the event to close out volunteer group payouts and compile wrap-up reports. $2500/flat fee total for the entire project period depending on experience.

    Pre Event

    • Recruit local groups and individuals to fill the 500+ volunteer positions necessary for the expo and event
    • Manage and adhere to the volunteer group budget
    • Set up and maintain the online volunteer registration website
    • Respond to volunteer questions and/or concerns via email or phone in a timely manner
    • Finalize pre-event day volunteer schedules to fulfill key roles at the expo, packet pick-up, and event sites for event set-up.
    • Track volunteer recruitment efforts, race week logistics execution on shared could-based drive
    • Submit weekly reports every Friday of the contract period with summaries of current registrants, past, current, and upcoming recruitment efforts
    • Conduct water station location site reviews with water station captains
    • Collect and organize documents to pay out volunteer groups
    • Develop, distribute and compile report on post-race survey
    • Create and distribute a one-month-out email to volunteers with all pertinent race details

    Race Week

    • Complete final reminders emails and calls as necessary to registered volunteers with details on location to report to, what to bring, etc.
    • Send out final reminder with race details via email on Monday, September 24
    • Prep volunteer database and check-in documentation and procedures

    Race Day

    • Manage and lead volunteer check-in tent
    • Place volunteers at all positions with the support of event staff to oversee specific areas
    • Ensure proper training and orientation for volunteers is planned and completed
    • Confirm the arrival and progress of aid station volunteers. Move volunteers as necessary to ensure appropriate coverage

    Post-Race

    • Distribute post-race thank you and volunteer survey
    • Assist race staff with the fulfillment of volunteer group pay-outs
    • Provide a report of successes and room for improvement to race director

    This is a paid position. Pay will be a flat fee and will be determined by the experience of the person filling the role. The total pay is $2500/flat fee total for the entire project (not per month the way Linkedin's AI is showing).
