    Position Description:

    Provides administrative support to the Goodwill of Central and Northern Arizona (GCNA) and its affiliated entities' Sustainability team. Plays a crucial role in supporting the sustainability initiatives of our organization to include tours of the ROC. The ideal candidate will be detail-oriented, possess excellent communication skills, and have a passion for sustainability and social responsibility.

    Essential Duties and Responsibilities:

    • Reconciles and verifies accuracy of vendor invoices, receipts, and credit card statements.
    • Compiles and formats financial reports for department managers.
    • Functions as department liaison and first point of contact and provides administrative support to the sustainability team, as needed.
    • Communicates with vendors, and assists with the coordination of all department-specific events.
    • Maintains departmental calendars by preparing agendas and scheduling meetings, conferences, teleconferences and travel/itineraries.
    • Attends meetings and takes accurate/detailed notes and subsequently prepares meeting summaries, action items, and follow-up tasks.
    • Assists in drafting, formatting, and proofreading memos, briefs, reports, and presentations and ensures timely dissemination of materials to relevant Team Members.
    • Ensures the accuracy and completeness of documents, including contracts and agreements.
    • Schedules and coordinates tours of Goodwill's Retail Operations Center (ROC) for Goodwill employees, key stakeholders, and sustainability partners. Works directly with ROC department leads to ensure that tours are conducted safely and efficiently and that teams are properly prepared to welcome tour guests and demonstrate Goodwill best practices.
    • Collects feedback from tour participants and communicates action items and follow ups for relevant Team Members.
    • Provides support and backfill as receptionist concierge, as needed.
    • Performs other related duties, as assigned.
    Minimum Qualifications (Education, Experience, Skills):
    • Minimum of five (3) years' experience as an administrative professional in a corporate setting, preferably with VP level and above.
    • Background in sustainability is a plus.
    • Must type a minimum of 60 words per minute.
    • Must be highly proficient in Microsoft Word, Excel, PowerPoint and Outlook.
    • Strong written, verbal, and interpersonal communication skills, including electronic media and e-mail.
    • Ability to speak and read English proficiently.
    • Ability to read, edit, and interpret complex documents, both electronically and in hard copy, in order to create a clear audit trail.
    • Ability to work independently on assigned tasks, as well as to accept direction on given assignments.
    • Ability to multi-task effectively, and deal with frequent changes, delays, or unexpected events.
    • Manage time well, meet deadlines, and prioritize multiple tasks.
    • High attention to detail and accuracy.
    • Demonstrates high level of professionalism and relate comfortably to people in all levels of the organization.
    • Maintains high level confidentiality at all times by having the ability to identify and hold sensitive, financial, proprietary, and/or attorney-client privileged information in strict confidence.
    • Must be able to quickly acquire a thorough knowledge of policies and procedures and understand the mission, vision and culture of the organization.
    • Ability to pass a background check and drug screen, where applicable for position.
